Position Overview The Billing Customer Service Specialist engages with customers regarding their billing inquiries and acts as a crucial part of the customer service team. This role ensures precise and timely billing across various services, including portable toilets, dumpsters, fencing, and septic accounts. With excellent communication and teamwork skills, you will handle accounts receivable processes, deactivation of services, and participate in regular audits. You will be a pivotal link between our customers and the billing department, addressing inquiries throughout the sales cycle and helping to enhance billing accuracy and customer loyalty. Key Responsibilities Customer Service & Phone Support Function as a key contact point for incoming customer calls, including greeting, processing, and transferring inquiries. Deliver courteous and professional support for all customer interactions consistent with A-1 Little John's Customer Service Model. Assist with all inbound inquiries related to billing questions. Take ownership of resolving straightforward billing queries. Track and manage inquiries using Salesforce CRM for efficient follow-up. Billing Responsibilities Prepare, process, and distribute invoices for portable toilets, dumpsters, fencing, and septic services. Conduct thorough checks to ensure billing accuracy and timeliness. Collaborate with the Sales team and Billing Specialist II to verify billing details across accounts. Maintain organized records of customer billing documentation, including crew sheets and contracts. Monitor and report billing performance indicators to the Sales and Billing Supervisor for weekly meetings. Proactively communicate with all departments to ensure clarity in billing requests based on contracts. Assist CSR-Billing Specialist II with accounts receivable and more complex billing support. Collaboration Partner with sales and operations teams to verify contracts, billing details, and completed jobs. Work closely with the Billing Specialist II to enhance processes and implement best practices. Escalate any discrepancies or collections issues to the Sales and Billing Supervisor. Qualifications & Experience Minimum of 3 years in customer service, billing, or administrative roles, ideally in a B2B environment. Proactive problem-solving skills and strong organizational abilities. Bilingual fluency in English and Spanish is a plus. Excellent written and verbal communication skills. Able to thrive in a fast-paced, detail-oriented setting. Proficient in Microsoft Office, Salesforce, Google Workspace, and billing/accounting software. Physical & Work Environment Requirements This is an office-based position requiring interaction with customer service, sales, operations, and finance teams. Standard working hours are Monday to Friday, 8:00 AM to 5:00 PM, with potential for overtime during busy billing cycles. Must be able to manage detailed tasks under pressure, handle multiple calls, and complete billing transactions effectively. Compensation & Benefits Competitive hourly wage.
