Assistant Controller Summary Vaya Space is a privately owned space and defense company headquartered on Florida's Space Coast. We are advancing patented vortex-hybrid engine technology to deliver propulsion systems that meet the highest standards of safety, affordability, and sustainability. In the commercial market, our Dauntless launch vehicle provides reliable and cost-effective access to orbit. In defense, our hybrid propulsion systems support next-generation tactical, hypersonic, and missile defense applications. Assistant Controller will assist in maintaining accurate financial records to include accounts payable, accounts receivable, general ledger, monthly credit card reconciliations along with multiple bank account reconciliations using our NetSuite program. This position will assist in ongoing and regular month end journal entries for both our parent and subsidiary company. Understanding of Intercompany transactions is desired. Ability to meet Financial Statement deadlines is important, in order to have them available and accurate prior to the Board of Directors monthly meetings. Travel Required Up to 10% Required Security Clearance None (ITAR Eligible) Essential Duties and Responsibilities Accounts Payable & Bill Processing Process vendor bills and reimbursements in the ERP system. Resolve discrepancies with Invoices and Purchase Orders by working with Procurement and other team members to confirm accuracy of invoice amounts, confirm items were received and approved, prior to processing for payment. The Assistant Controller will also Maintain documentation of the invoice either by paper or electronically in the ERP system. Meet Financial Statement deadlines Reconciliations & Reporting Prepare AP aging, vendor reports, and bank/credit card reconciliations. Assist with intercompany transactions and routine ERP reporting. Vendor Record Compliance & Management Maintain vendor documentation and ensure accurate ERP setup for 1099 tax and payment compliance. Audit and maintain vendor files for W-9 compliance, and year end 1099 reporting. ERP Item Review Review vendor and customer setup in the ERP for accuracy. Work with Controller and team members to support accurate records. Month-End Close & Audit Support Support month-end closing, update and prepare schedules for deposits, prepaids, accruals, and fixed assets. Maintain audit files and assist with financial statement preparation. Fixed Asset Management Track capital purchases, maintain fixed asset records, and manage depreciation schedules. Document Retention & Compliance Keep digital or physical records organized and audit ready. Support compliance with retention and tax requirements. Policies and Procedures Follow and assist in developing accounting policies and procedures. Qualifications Bachelor's degree in accounting/finance plus 3 - 5 years mid-level Finance Management experience. Understanding of the use of financial reports and budget/expense forecasting Familiarity with monthly, quarterly, and annual financial forecasting processes. Ability to work effectively both independently and as part of a team. Knowledge of developing computer technology's application to business effectiveness Willingness to work flexible hours as necessary To comply with U.S. export regulations, such as the International Traffic in Arms Regulations and the Export Administration Regulations you must (a) be a "U.S. Person" as defined under those regulations, which includes U.S. citizens, U.S. nationals, lawful permanent residents of the U.S., and protected individual as defined by 8 U.S.C. 1324b(a)(3), or (b) otherwise be eligible to obtain the required authorizations from the U.S. Department of State or U.S. Department of Commerce, as appropriate. Preferred Skills and Education Familiarity with business budgeting and cash flow analysis. Solid Microsoft Excel skills, including pivot tables and formulas. Previous experience with NetSuite or other accounting software.
