Administrative Support SpecialistJob Summary The Administrative Support Specialist provides front desk, customer service, and administrative support within an office environment. This role serves as the first point of contact for customers and supports daily operations through accurate data entry, records management, scheduling, and clerical assistance. The position requires professionalism, attention to detail, and the ability to work efficiently in a fast-paced, customer-focused setting. ResponsibilitiesFront Desk & Customer Support Serve as the primary front desk representative Answer, screen, and route incoming phone calls Greet and assist walk-in visitors in a professional and courteous manner Provide basic information on programs and services Direct customers to appropriate staff members or services Maintain a high standard of customer service at all times Data Entry & Tracking Systems Perform accurate data entry and record maintenance Maintain and update customer records in internal tracking systems Maintain electronic trackers and customer files Ensure required customer forms and acknowledgments are completed and documented Manage and maintain appointment calendars Administrative & Clerical Support Prepare, edit, and proofread correspondence, reports, and other documents Process incoming and outgoing correspondence and email Maintain records and files in accordance with organizational requirements Track deadlines, pending actions, and required follow-ups Maintain publications and reference materials Order, receive, and track office supplies as needed RequirementsRequired Skills & Experience Strong proficiency in Microsoft Office applications Experience using Microsoft Excel and database systems Prior administrative or clerical support experience Demonstrated ability to perform accurate data entry Professional written and verbal communication skills Ability to manage front desk operations and provide quality customer service Additional Requirements Ability to pass a background screening if required Ability to work on-site using organization-provided systems and equipment
