Facility:Dayton Children's - Main CampusDepartment:Volunteer Services AdministrationSchedule:Full timeHours:40Job Details:The Volunteer & Student Resources Operations Coordinator serves as the initial point of contact for volunteers, pet therapy teams, students, staff, and community partners, representing the department with professionalism, diplomacy, and sound judgment. This role delivers high-level customer service and administrative support, ensuring a welcoming, organized, and responsive office environment. The ideal candidate is detail-oriented, service-driven, and skilled at managing multiple priorities while supporting a mission focused volunteer and student program.The Operations Coordinator executes and monitors Volunteer & Student Resources operational workflows to ensure consistency, accuracy, and compliance with organizational standards. This role oversees the administrative coordination of volunteer and student onboarding—including scheduling, documentation, system entry, and cross-departmental communication—while proactively identifying operational gaps, mitigating risks, and escalating improvement opportunities to leadership as appropriate.This role centrally manages the lifecycle of education affiliation agreements for student rotations (excluding nursing, APP, and physician programs), coordinating legal review, execution, renewal tracking, and compliance documentation in partnership with the Chief Legal Officer. The Operations Coordinator ensures regulatory alignment, mitigates the risk of agreement lapse and downstream impact to student onboarding, and supports expansion as additional schools and disciplines are added.Reporting to the Director of Volunteer & Student Resources, the Operations Coordinator collaborates with the Manager of Volunteer & Student Resources, cross-functional teams to support effective communication, operational alignment, and accountability across volunteer and student programs.Required QualificationsEducationAssociates degreeExperienceMinimum of 5 years of administrative, office coordination, or customer service experience.Skills and Competencies• Strong customer service skills with the ability to interact professionally and with diplomacy.• Demonstrates a high level of professionalism, discretion, and sound judgment in all interactions.• Communicates with empathy while upholding organizational standards consistently and respectfully.• Maintains strict confidentiality regarding volunteer, student, and personnel matters, and navigates sensitive situations in a manner that protects relationships and preserves trust.• Demonstrated ability to maintain accurate and organized digital and paper records, including volunteer hours, health and vaccine documentation, pet therapy records, annual education requirements, and related compliance materials.• Strong skills in managing legal agreements and legal documentation, including tracking contract components, monitoring renewal timelines, coordinating revisions, and conducting timely, professional follow-up with academic partners and the Legal team.• Software applications - Proficiency with Microsoft Office (Outlook, Word, Excel, Teams); ability to learn internal systems.• Ability to manage multiple priorities and distractions in a fast-paced environment greeting volunteers, students, and staff and keeping up on compliance documentation.• Pet Therapy volunteers and their dogs come into the volunteer office for each shift. Must like dogs and be comfortable engaging with all breeds, sizes, ages, and ones with special needs.Preferred QualificationsBachelors degree2 years in a hospital operations support roleExperience with Volgistics, or other volunteer management applicationsExperience working for a volunteer organization.Department Specific Job Details:Shift: Monday - Friday, flexible first shift hours between 7:00AM - 5:00PM.Occasional weekends and nights.This team has oversight of Pet Therapy.
