Because this role sits at the intersection of leadership, finance, and development, it is a position of extreme trust. We operate with a "servant's heart," and the Executive Administrator emulates this by learning and anticipating the support needs of the Executive Team and offering solutions before they are requested. The defining requirement of this role is absolute, uncompromising confidentiality. You will be the "vault" for sensitive financial data, legal contracts, and strategic growth plans, professional schedule and bookings, and other information supporting Executive Leadership that requires the highest level of professional maturity and "steel-trap" discretion. Responsibilities: Strategic Gatekeeping: Manage access and communication for the CEO, CFO, and CDO. Serve as a professional filter, ensuring leadership is briefed on urgent matters while shielding them from unnecessary interruptions. The "Vault" Mindset: Handle highly sensitive informationincluding financial audits, franchise development deals, and legal documentswith total confidentiality. Fiduciary & Legal Support: Assist the CEO and CFO in fulfilling fiduciary responsibilities; facilitate the procurement of sensitive signatures for legal, construction, and corporate teams. Operational & Calendar Command Complex Coordination: Orchestrate and de-conflict the daily itineraries of three C-suite executives, ensuring all parties are prepared for internal/external meetings with relevant background briefings. Meeting Command: Lead the preparation for Leadership Team meetings and Board sessions. This includes drafting agendas, capturing high-level confidential minutes, and tracking executive action items. Travel Logistics: Arrange seamless travel and accommodations for the CEO, CFO, and CDO, managing complex schedules and expense reporting with precision. Financial & Cultural Stewardship Budget & Expense Management: Assist in the oversight of the Executive Office's budget. Manage expense reports and procurement via QuickBooks (or comparable software), maintaining meticulous records. Culture Advocacy: Partner with the "Neighborly" (Culture) Department to ensure office initiativesfrom Town Halls to corporate celebrationsalign with the Executive Team's vision and the CBA mission. Foundation Support: Assist the CEO in duties related to the Christian Brothers Automotive Foundation, ensuring all philanthropic efforts are supported administratively. Qualifications Skills and Experience: C-Suite Experience: Prior experience supporting multiple C-level executives (specifically CEO/CFO/CDO) in a fast-paced environment. The "Trust Factor": A proven history of handling highly confidential financial and strategic information with absolute discretion. Prioritization Skills: Ability to juggle the competing priorities of three different executives while maintaining a calm, servant-hearted presence. Technical Savvy: Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel) and QuickBooks (or comparable accounting software). Communication: Exceptional written and oral communication; the ability to represent the Executive Team's voice with professionalism and humility. Physical Requirements: Occasionally bending, twisting, and turning. Sitting for extended periods of time. Occasionally lift and/or move up to 50 pounds.
