Job DescriptionPosition Title: Executive Assistant Department: Operations Location: Cincinnati, OH Reports To: Chief Operating Officer Position Summary The Executive Assistant provides high-level administrative and operational support in a fast-paced chemical manufacturing environment. This role manages complex scheduling, confidential communications, and cross-functional coordination across Operations, Engineering, Supply Chain, Customer Service, Procurement service and plant leadership. We are seeking a go-getter, outgoing, self-starter, and highly independent professional who thrives in a dynamic environment, anticipates needs, and drives execution with minimal direction. The ideal candidate demonstrates exceptional organizational discipline, attention to detail, sound judgment, and the ability to manage multiple priorities while supporting plant and corporate initiatives. Key ResponsibilitiesExecutive Support Manage the COO's calendar, including complex scheduling across multiple sites, time zones, and stakeholders. Maintain and manage the COO's daily agenda and proactively pre-plan meetings and priorities. Coordinate meetings, site visits, leadership reviews, and operational cadences (weekly/monthly). Prepare agendas, briefing materials, presentations, and meeting summaries/action trackers. Ensure meeting readiness by coordinating deliverables and delegating pre-meeting action items. Screen calls, emails, and correspondence; prioritize communications based on urgency and impact. Operational Coordination Support execution of operational initiatives across manufacturing, engineering, supply chain, and HSE teams. Track key action items from leadership meetings and follow up with responsible stakeholders. Assist with preparation of operational reports, dashboards, and presentations (KPIs, production data). Coordinate internal communications related to plant operations, projects, and organizational updates. Office Management & Administrative Oversight Oversee day-to-day office operations and administrative workflow. Manage office needs including supplies, vendor coordination, and facility-related support. Coordinate meal planning, catering orders, and logistics for meetings, business lunches, and dinners. Manage travel logistics, itineraries, expense reporting, and vendor coordination for the COO. Support contract routing, document management, policy approvals, and internal workflows in alignment with internal controls. Maintain highly confidential records and information with discretion and professionalism. Project & Process Support Assist with special projects tied to operational excellence, audits, and transformation initiatives. Help coordinate cross-functional workflows during plant initiatives or organizational changes. Support preparation for internal/external audits and operational reviews as needed. Board & Leadership Support Coordinate logistics for board meetings, leadership sessions, and executive events. Prepare board materials, presentations, and meeting documentation. Coordinate travel arrangements, business lunches, and dinners tied to leadership activities. Personality & Work Style Go-getter with a proactive, solution-oriented mindset. QualificationsEducation & Experience Bachelor's degree preferred; equivalent experience considered. 5+ years of experience supporting senior executives (COO/VP-level preferred). Prior experience in office management and/or executive assistant roles required. Experience in manufacturing, chemical, or industrial environments preferred. Technical Skills Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint). Experience managing calendars, travel, and reporting in corporate systems (SAP, Concur, SharePoint, etc.). Strong document formatting and presentation preparation skills. Core Competencies Strong organizational and time-management skills. High level of professionalism and discretion handling confidential information. Excellent written and verbal communication skills. Ability to operate effectively in fast-paced, deadline-driven environments. Strong attention to detail and follow-through. Demonstrated ability to work effectively across cross-functional departments. Work Environment This position operates in a professional office setting within a chemical manufacturing organization and may occasionally require interaction with plant operations or site personnel.
