Bookkeeper - Hourly Salary Range: $25.00 - $28.00 Hourly Position Type: Full-Time/Part-Time Description Parish Family Bookkeeper Parish Family 5 I. Position Purpose Provide bookkeeping services for the Parish Family, in accordance with Archdiocesan administration and finance policies and procedures. II. Major Duties and Responsibilities Prepare and submit financial statements to the Pastor, Director of Operations and Finance Councils monthly. Maintain all Parish banking accounts. Post invoices, expenses and check requests, verifying authorization for expenditures in all program and operating accounts. Reconcile bank, credit card and other statements monthly. Prepare bi-weekly staff payroll and maintain the payroll system. Employee timecards must be submitted for approval by Sunday evening every other week (the day before payroll submission). Employee timecards must be approved by Monday at noon every other week. Submit supplemental spreadsheets as needed (i.e., cashing out vacation hours for termination, retro pay, bonuses, etc.). Submit payroll to the Archdiocesan Payroll and Benefits Department. Submit requests for any changes to employee information. Account for all contributions to the Parish and Parish collections on a weekly basis. Coordinate volunteers for money-counting and record-keeping. Assist pastoral leader, Director of Operations and others as directed in the preparation of the annual Parish budgets. Provide financial information including current budget allocations, year-to-date balances and anticipated financial needs for the future. Serve as staff to the Parish Finance Councils as requested. The following materials must be prepared and presented at meetings: Budget vs. Actuals FYTD Comparative Balance Sheet YTD PRF accounts FYTD as part of the Balance Sheet Provide bookkeeping services and advice for those who direct the various fundraising efforts for the Parish, including the Annual Catholic Appeal, Sacrificial Giving and special collections. Maintain a level of knowledge and skills required for the bookkeeping profession. This may be accomplished by participating in Archdiocesan sponsored training, attendance at workshops and classes, reading appropriate materials and/or membership in local professional organizations. Maintain knowledge of current and updated Archdiocesan policy for bookkeeping. Monthly bulletin numbers (for each Parish): Prepared by the Wednesday before the third Sunday of the month. Includes previous month's income, expenses. Includes FYTD income and expenses and budgeted income and expenses. Prepare to-date Annual Catholic Appeal goal totals on Wednesday of each week during the campaign for the bulletin on Sundays. Send checks for custodial funds at least monthly: Regularly includes funds collected on behalf of St. Vincent de Paul, Marysville, Arlington & Darrington Food Banks, Backpack Ministry, Knights of Columbus, etc. Includes funds received for any Archdiocesan campaign (i.e., Peter's Pense, Rice Bowls, etc.) Create reimbursement checks as needed information required: Receipt documenting the expense Name and address of the person requesting reimbursement Reason for the expense Present checks to Pastor or in his absence, Director of Operations for signatures. Qualifications Experience in a bookkeeping, accounting, or similar role Excellent organizational skills and attention to detail Must be able to maintain separate books for four different locations. Must be able to travel between locations Experience with Microsoft365 strongly preferred Experience with QuickBooks Online preferred Experience with Fund Accounting preferred Must be a faithful, practicing Catholic active in your Parish Any offered salary is determined based on internal equity, internal salary ranges, market data, applicant's skills and prior relevant experience, certain degrees and certifications.
