The Housing Manager, reporting to the Assistant Director for Housing, will play a role in all aspects of the management of NYU Langone Healths residential portfolio, providing expertise and support in tasks such as allocating and assigning residential housing units, forecasting housing trends by reviewing supply/demand and historical data, making housing offers and renewing leases while recommending, adhering to and reinforcing housing policies as aligned with the institutions overall goals.Job Responsibilities:Manage, coordinate, report on, and respond to issues concerning waiting lists, housing assignments, housing lotteries, transfers, move-ins and move-outs, etc. Ensure housing leases and licenses are distributed in a timely manner and received within established deadlines, verify documents are properly executed.Supervise housing data management within StarRez system, in conjunction with Excel or other systems as appropriate, and off-line documents and spreadsheets, to maintain data accuracy and correcting errors. Using StarRez, Microsoft Excel, Latch, and other systems, manage distribution of routine reports such as waiting list updates, lease renewal reports, visitor and sublet reports, occupancy reports, allocation reports, apartment status reports, move-in and move-out schedules, annual summary reports, rent schedules, etc. and ad-hoc reports as needed. Act as liaison between Housing and MCIT. Manage the design, implementation, testing, and ongoing oversight of StarRez functionality, including new processes or enhancements to existing processes in the housing portal. Collaboratively with MCIT, continue to explore product offerings released by StarRez that may be beneficial to housing operations. Participate in conferences and webinars offered by StarRez to expand on technical skills and network with other institutions to stay current on best practices. Explore, learn and utilize new systems and technology platforms as the residential portfolio's needs evolve.Supporting the Assistant Director with updating and maintaining documentation of housing policies and procedures, leases and licenses, building information sheets, guide to living, family housing policies, housing webpages, etc.Ensure that the Assistant Director and/or the Vice President for Real Estate are kept abreast of unresolved, or sensitive issues, and problems. Support the compilation, analysis and presentation of the residential portfolio, including vacancy, demand, and utilization, as well as other strategic issues; identify trends, anticipate turnover and availabilities, and project vacancies from housing data using StarRez, along with MS Office Suite, and other programs as needed. Suggest creative solutions to problems with the resources available. In collaboration with the Leasing and Acquisitions team, act as a liaison with outside real estate agents, landlords, real estate firms, etc. to make appropriate referrals and/or recommend acquisition or disposition solutions to meet demand trends in times of forecasted growth or contraction as appropriate, within budgets. Manage compiling current residential market data, and housing information of comparable medical schools and healthcare institutions in the New York City area for presentation. Manage coordination with the Property Management team to conduct inspections and process unit turnovers, and to prepare for the possession or surrender of leased housing units. Manage the resolution of lease/license enforcement issues (identifying lease requirements and communication of defaults), adhering to housing policies. Interact with landlords, building superintendents, Finance and Real Estate colleagues, and others, following-up on pending or unresolved issues. Monitor and respond to faculty maintenance concerns coordinating with Property Management to follow up and resolve issues in a timely manner. Assist REDF Finance in reconciling rent receivables, student billing charges, and other related functions, as requested. Provide monthly reports of vacating tenants to REDF Finance for security deposit refund processing, when applicable. Represent Housing at meetings with faculty, administration, deans, student advocates, and students as required to coordinate proper placement of incoming students, staff, faculty, and other eligible groups. Act as point person to support Housing team with the annual student housing lottery, bed exchange, transfer processes, and other housing programs as needed to support the institution. Primary responsibility for assignment of housing to Postdoctoral Fellows and House Staff. Escort eligible housing applicants to view portfolio apartments as support of the Assistant Director and/or Vice President for Real Estate, provide faculty housing assistance as related to recruitment and retention, including escorting faculty on housing tours. Manage the implementation and administration of new programs to address evolving housing needs, such as short-term stays and programming units, and enhancing tenant-focused services for students, staff, and faculty. Interact appropriately with all levels of management, faculty, staff and students across NYU Langone Health, and assist REDF team members on special projects.Provide primary support and training to, and directly supervise Housing Office team to address all housing-related inquiries and requests. Aid the Assistant Director in ensuring that Housing team are compliant and trained in policies and procedures as it relates to overall institutional policies, and in team-building and enhancing service-focused practices. Manage and support the development of Housing team to achieve high performance and professional goals.Perform other duties as assigned. The salary range for the role is $81,325.15 - $135,541.73 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need.
