Executive Administrative Assistant The Executive Administrative Assistant, based in our Boston headquarters in the Back Bay, will provide administrative support to Gordon Brothers' CFO & Chief Operating Officer. The role will include communicating with internal and external executives, departments, and teams and solve problems in real-time, while focusing efforts on immediate priorities and operating with efficiency. The ideal candidate will be professional and discreet in all communication and keep all active priorities well-organized and current. Key responsibilities include: Making decisions on behalf of executives to proactively resolve calendar conflicts with your understanding of the priority of meetings for calendar management, business/personal meetings, and event planning Using good judgement to screen and respond to incoming calls/emails, assess situations, handle requests, resolve conflicts, and determine the best use of the executive's time Coordinating internal and external meetings, including meeting agendas and supporting materials Preparing a variety of correspondence including client letters, internal reports, and presentations while ensuring timeliness and accuracy of all materials Providing support during occasional outside of business hours to address urgent, last-minute needs or travel-related changes Communicating with a wide variety of high-level executives to exchange critical and/or sensitive information and expedite matters on behalf of the executives Monitoring progress on important matters and follow up to ensure completion Coordinating travel arrangements including all air, hotel and car reservations using your discretion to identify the most appropriate, cost-effective, and convenient logistics Preparing itineraries and expense reports Serving as Project Manager on select business projects tied to the organization and/or the executive Role requirements include: Having previously supported senior executives for at least 7 years and being an excellent communicator who works well with people at all levels Thriving in a fast-paced, entrepreneurial culture and managing multiple and shifting priorities Demonstrating professionalism, poise, relentless attention to detail, and impeccable organizational skills to work in a high-pressure environment Having excellent technical skills: MS Office suite essential, with proficiency in Outlook, PowerPoint, Office 365 Maintaining absolute discretion, highest level of confidentiality and demonstrating good judgment Gordon Brothers offers a very competitive total compensation package, including base salary and bonus plan, health insurance, dental benefits, a generous 401(k) match, time off benefits, and more.
