Job Title: Operations Assistant- Reporting to Head Grower Company: The Pinery LLC Location: Escondido, CA Position Type: Full-time in office The Pinery LLC The Pinery is a family owned and operated wholesale outdoor nursery that grows potted plants for B2B sales in supermarket floral departments, garden centers, and florist shops throughout the year. We are located in Escondido, CA just 30 minutes from downtown San Diego and 40 minutes from Carlsbad, CA. We are a passionate and driven team that has worked hard to brand The Pinery in the marketplace as a high-quality grower with superior customer service. Job Summary: The Operations Assistant provides essential administrative and organizational support to both the Production and Procurement departments, as well as the sales and inventory operations. This role is responsible for managing paperwork, filing, data entry, and assisting with daily operational tasks. The ideal candidate is detail-oriented with the ability to utilize critical thinking and analytics to perform the duties and operational tasks required. The candidate should be willing to work in a fast-paced, comfortable and collaborative working environment. The position requires sharing time in the field as well performing operational admin duties in the office. Responsibilities: Creating accurate and organized Bed Labels for inventory items. Ensuring proper data entry for on-ground Crop placement and generating necessary reports for management. Maintaining weekly inventory cycle count sheets and assist in reconciling variances. Conducting Mid-Year and Year-End Inventory assessments. Assisting in Data Entry to maintain product information for final product creation and sales. Preparing loading and shipping documents, including box labels and UPC stickers for shipments and customer pick-ups. Collaborating with the purchasing team to process orders and maintain up-to-date inventory records. Receiving products in the system through data entry and scanning, while also photographing and cataloging Value-Added items received. Generating reports for inventory counting purposes and accurately inputting data into the system and spreadsheets. Entering Value Added items into Customer Order Sheets and verifying customer order data in the spreadsheet. Ability to communicate with cross-functional teams Demonstrating self-management skills to prioritize and complete work assignments efficiently. Qualifications: 2+ years of experience or an associates degree Bilingual in English and Spanish Proven experience as an Operations Assistant or in a similar role. Willing to work some overtime when needed, which may require some Saturdays. Strong organizational skills and ability to manage multiple projects simultaneously Ability to work collaboratively in a cross-functional team environment Excellent written and verbal communication skills, with a keen eye for detail Proficiency in Microsoft Office Suite Familiarity with data entry procedures and best practices. Preferred but not required: Associates or Bachelors degree in Horticulture, Agriculture, or related field. Up to date Pesticides Applicators License Experience working in a high-volume seasonal production environment. Familiarity with ornamental plant identification and nursery variety tracking. Experience supporting crop forecasting or production planning. Understanding of shrink tracking and inventory variance reconciliation. Exposure to plant labeling compliance or agricultural regulations. Experience supporting B2B distribution to grocery, floral, or garden center accounts.
