Payroll Specialist Sarasota Campus - Sarasota, FL 34236; Venice Campus - Venice, FL 34293 Overview Position Type: Part Time Category: Nonprofit - Social Services Description Senior Friendship Centers is seeking a dynamic Payroll Specialist to join our team. For more than 50 years, Senior Friendship Centers has been making a difference in the lives of seniors in Southwest Florida. We are looking for a detail-driven and service-minded Payroll Specialist to join our team. The Payroll Specialist will play a key role in ensuring our employees are paid accurately, on time, and in compliance with all applicable regulations. This position is responsible for managing payroll processing, reviewing timecards, maintaining payroll records and allocations, reconciling payroll-related invoices, supporting benefits administration, and assisting with reporting, audits, and other HR-related processes. This role also serves as a point of contact for employees with questions related to payroll, time tracking and benefits enrollment process. We are looking for someone who is organized, trustworthy, deadline-driven, and highly detail-oriented, with extensive knowledge of payroll processes, internal controls, and payroll taxes. Candidates should have at least three years of payroll processing experience, advanced Excel skills, and the ability to maintain confidentiality while adapting to the needs of the organization and its employees. Experience with HRIS systems and Paycom is preferred. Essential Functions: Operational: Complete, maintain, and reconcile payroll processing and accounting systems to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions. This includes reviewing timecards for accuracy, compiling payroll data, transmitting payroll, and preparing payroll-related entries. Be the Point of Contact for employees with payroll, benefit enrollment, time tracking and other related information. Coordinate important employee communications regarding holiday schedules, reminders, deadlines, etc. Ensure accurate and timely processing of employee updates including new hires, terminations, and changes to pay rates. Maintain and update payroll allocations. Prepare and maintain accurate records and reports of payroll transactions. Ensure compliance with federal, state, and local payroll, wage, and hour laws and best practices. Identify and recommend updates to payroll accounting software, systems, and procedures, as needed. Reconciles and processes payroll-related invoices; including but not limited to retirement benefits, worker's compensation, health insurance benefits, and special deductions and garnishments. Complete and submit multiple worksite reports to government agencies and similar. Assists with benefits administration, payroll deductions, and annual open enrollment configuration and processes in HRIS system. Responsible for benefits tracking, verify whether elections are accurate on the carrier's invoice, and accurately withheld in the payroll software. Assist with internal and external audit functions, including account reconciliations, providing records and documentation to auditors, and preparation of payroll related schedules. Completes various internal and external payroll related reports, salary surveys, and annual retirement plan reporting. Completes employment verifications. Assist with payroll related information for Unemployment Claims. Assists with answering phones as a "back up" when available. Maintain knowledge of the background screening process, acts as a "back up" as needed. Assists with other various Payroll and HR related tasks or procedures as needed. Organizational: Report any incident of abuse or neglect as mandated by state guidelines. Attend staff meetings, training, and seminars as required. Must comply with all Senior Friendship Centers personnel policies. Must protect the safety and health of staff, volunteers, participants, and others by observing and following the organization's safety and incident policies. Competencies: Extensive knowledge of payroll functions including preparation, balancing, internal control, and payroll taxes Excellent organizational skills and attention to detail. Qualifications Education, Experience, Licenses, and Certifications: Associate degree in business, accounting, or related field required or any equivalent combination of training and experience which provides requisite knowledge, ability and skills to perform the essential functions of the job. Minimum of three years of payroll processing and payroll systems is required. Experience with HRIS systems administration as it relates to payroll is strongly desired. Proficient with Paycom software preferred. Advanced computer skills and proficiency with Microsoft Office, specifically Microsoft Excel. Excel proficiency includes the ability to use formulas in excel; such as SUMIF, VLOOKUP, etc. Physical Demands: Prolonged periods of sitting at a desk and working on a computer. Must be able to lift 20 pounds. Must be able to navigate various departments of a physical location. Travel: Travel may be required for administrative tasks. Must have reliable transportation. A valid driver's license and proof of insurance are required for all work-related travel Additional eligibility requirements: Satisfactory clearance of a fingerprint-based, level II background screening, and pre-employment substance abuse testing is required.
