Role Overview Pristine Home Renovations is seeking a highly capable Executive Assistant to support the Owner in a fast-moving, growth-oriented construction and renovation business. This is not a traditional administrative role. This position is designed for a high-level Executive Assistant who thrives in founder-led environments, anticipates needs before they arise, and takes ownership of keeping priorities organized and moving forward. Over time, this role has the opportunity to expand into broader operational support responsibilities for the company. Executive Support & Time Protection (Primary Focus) Manage and prioritize the Owner’s calendar, meetings, and communications Anticipate scheduling conflicts, preparation needs, and follow-up requirements Prepare agendas, documents, reports, and summaries ahead of meetings Ensure key tasks and commitments are tracked and completed Serve as a gatekeeper and filter to protect executive focus and priorities Project & Operational Support (Growth Component) Assist in tracking active projects and deadlines across the company Help organize and review internal reports, job data, and financial summaries Follow up with internal team members and vendors to ensure accountability Identify workflow gaps and suggest improvements Help create structure around recurring processes and reporting Communication & Coordination Act as a liaison between the Owner and internal team members Coordinate meetings, follow-ups, and action items across departments Maintain high standards of professionalism and confidentiality Ensure nothing falls through the cracks Requirements Required Experience & Traits 5+ years supporting a senior executive, founder, or business owner Experience in a fast-paced, operations-driven environment Highly organized with exceptional follow-through Strong written and verbal communication skills Comfortable reviewing reports and working with numbers (no accounting background required) Technically proficient (Google Workspace, spreadsheets, CRM/project management tools) Calm under pressure and able to manage multiple priorities simultaneously Naturally proactive — you see issues forming before others do (Experience in construction, trades, real estate, or other operations-heavy industries is a plus, but not required) Benefits Compensation & Growth What Success Looks Like in the First 90 Days The Owner’s calendar and priorities are fully organized and proactively managed Meetings are structured and action items consistently tracked Key follow-ups are no longer slipping through the cracks Internal communication flow is improved You begin identifying operational improvements and taking initiativeCompensation: -Competitive salary based on experience (negotiable BOE) -Full-time, in-office position in Tallahassee, FL.
