COST of Wisconsin is seeking a detail-oriented Operations Administrative Assistant to support our operations, HR, safety, and executive leadership teams. This role plays a key part in coordinating administrative processes, maintaining accurate records, and ensuring timely communication across departments. The position supports recruiting, HR administration, safety documentation, executive coordination, and operational tasks that help maintain efficient day-to-day business operations. This is a nonexempt administrative role performed with a high level of organization, confidentiality, and professionalism. Work is primarily performed in an office environment with interaction across administrative and production teams. Schedule: Monday-Friday, 8:00 AM - 4:30 PM What You'll Do Administrative & Operations Support Provide administrative coordination across operations, HR, safety, and executive leadership Prepare correspondence, reports, forms, and internal communications Maintain organized digital and physical records, documents, and databases Schedule meetings, facility tours, and appointments; assist with preparation of agendas and materials Assist with light marketing tasks such as taking photos, posting updates, and creating simple graphic materials for internal communications Develop systems and processes that improve efficiency and productivity Human Resources Support Assist with recruiting coordination including job postings, scheduling interviews, and communicating with candidates Support onboarding and offboarding processes by preparing documents, coordinating orientations, and managing documents Maintain personnel files and ensure accurate HRIS data entry Track employee certifications, licenses, training records, and DOT/driver files Assist with benefits changes, enrollment coordination, and routine employee questions Support leave tracking and maintain related documentation Assist with performance review tracking and routine HR correspondence Maintain required workplace postings and documentation Safety & Compliance Support Maintain safety documentation, licenses, and training records to support compliance efforts Assist with incident reporting documentation and follow-up filing Support compliance reporting and documentation processes Provide administrative support to the safety committee and employee recognition programs Distribute safety updates, policy reminders, and alerts Assist with safety initiatives such as Safety Week, audits, and related programs What You Bring Knowledge & Education High school diploma or equivalent required Associate's degree in business, human resources, or related field strongly preferred Proficiency in Microsoft Office applications including Excel, Outlook, and Word Graphic design, marketing, and/or business related social media experience General knowledge of HR practices, employment laws, and HRIS systems helpful Experience Minimum three (3) years of administrative experience, including experience supporting human resources, safety, or executive leadership functions Equivalent combinations of education and experience will be considered Skills & Abilities Must demonstrate COST's Core Competencies: accountability, communication, decision quality, results-driven mindset, trust, conflict management, work process optimization, planning, resourcefulness, and safety focus Strong organizational and time-management skills with the ability to manage varying workloads and priorities Highly customer-focused mindset with the ability to meet deadlines and support internal stakeholders Analytical thinker capable of collecting information, solving problems, and developing solutions Strong attention to detail and ability to maintain accurate records Ability to work both independently and collaboratively across multiple teams Effective verbal and written communication skills Strong interpersonal skills to interact with leaders, employees, and external contacts Ability to maintain confidentiality and handle sensitive information professionally Physical Regular sitting, typing, and computer work Occasional walking, reaching, stooping, or moving between work areas Ability to use hands for office equipment and documentation handling Vision requirements include close, distance, color, and peripheral vision with ability to adjust focus Work Environment Work is performed primarily in an office environment, with occasional interaction in the production shop.
