Invoicing Specialist JOB #74901Job Description: Invoicing Specialist (Commercial Painting) This position requires a detail-oriented professional who understands the unique financial workflows of the construction and trade industries. You will be responsible for managing the full billing cycle, ensuring accuracy in project-based invoicing, and maintaining seamless records within QuickBooks. Position Overview Pay Rate: $30.00 - $34.00 per hour Location: Modesto, CA (On-site) Industry: Commercial Painting / Construction Employment Type: Full-Time Key Responsibilities Project Invoicing: Generate and distribute high-volume invoices specifically tailored for commercial painting projects. QuickBooks Management: Maintain up-to-date financial records, ensuring all entries, credits, and payments are accurately applied. Progress Billing: Manage "Percentage of Completion" billing and progress payments common in the construction industry. Lien Waivers & Compliance: Prepare and track conditional and unconditional lien waivers to ensure smooth payment cycles. Discrepancy Resolution: Work closely with Project Managers to resolve billing discrepancies and ensure labor/material costs align with estimates. Collections & AR: Monitor accounts receivable aging reports and conduct professional follow-ups with commercial clients to ensure timely payment. Required Qualifications Software Expertise: Advanced proficiency in QuickBooks (Desktop or Online) is mandatory. Industry Experience: Minimum of 2-3 years of experience in billing or accounting specifically for construction firms or trade contractors (painting, HVAC, plumbing, etc.). Technical Knowledge: Familiarity with construction-specific billing requirements, such as AIA documents (G702/G703) or similar schedule of values. Attention to Detail: Proven ability to manage complex data sets with high accuracy to prevent payment delays. Communication: Strong professional communication skills for interacting with general contractors and commercial clients. Why Join This Firm?
