Position Type: Secretarial/Clerical/Secretary - 12 Months Date Posted: 1/28/2026 Location: Kingsway Regional High School Position: Secretary - Child Study Team Office Location: Kingsway Regional High School Salary Range: $39,974 - $52,099Qualifications: High school diploma Demonstrated office skills Required criminal history review background check and proof of U.S. citizenship or legal resident alien status Such alternatives to the above qualifications as the Board may find appropriate and acceptable Performance Responsibilities 1. Secretarial Responsibilities Provide comprehensive secretarial support to the Director of Special Education Services, including but not limited to: Typing and preparing all reports required by statute and regulation Preparation of End-of-Year reports (June) Completion of Form 417 and applications for Approved Non-Public Schools Preparation of district budget documentation related to special education teachers, Child Study Team members, speech/language services, and resource center programs Preparation of agendas for department meetings Drafting memoranda and professional correspondence Typing and formatting all components related to the above responsibilities under the direction of the Supervisor of Special Education Services 2. Child Study Team Secretarial Responsibilities Support Child Study Team functions by preparing, organizing, and maintaining special education documentation, including: Social histories Psychological evaluation reports Learning disabilities evaluations Speech and language evaluation reports Classification and Individualized Education Program (IEP) conference documentation Evaluation plans Annual review documentation Special conference reports Scheduling of annual reviews, reevaluations, eligibility meetings, CCR meetings, and other CST meetings Managing and coordinating additional schedules as requested Receiving, screening, and routing incoming telephone calls for Child Study Team members 3. Frontline IEP and Student Records Management Maintain accurate and up-to-date student records within Frontline IEP Ensure timely entry, distribution, and archiving of IEPs, evaluation reports, amendments, and meeting documentation Monitor timelines within Frontline to support compliance with state and federal special education regulations Assist Child Study Team members and administrators with Frontline-related documentation and procedural requirements Maintain confidential electronic and paper records in accordance with district procedures and FERPA requirements 4. Compliance and Confidentiality Support compliance with IDEA, N.J.A.C. 6A:14, and district procedures Monitor student files to ensure required documentation is present and complete Annually review files for compliance and notify appropriate Child Study Team members of missing or incomplete documentation Maintain strict confidentiality of all student, family, and staff information Handle sensitive information with professionalism and discretion at all times 5. SEMI (Special Education Medicaid Initiative) Responsibilities Support SEMI documentation processes as required Assist with maintaining accurate service documentation and records necessary for Medicaid reimbursement Collaborate with CST members, related service providers, and supervisors to ensure required SEMI documentation is complete and accessible Maintain organized records in alignment with SEMI auditing and reporting requirements 6. Professional/Vocational School Responsibilities Prepare and forward complete student file packets for professional and vocational school placements Communicate with parents and receiving programs regarding required documentation and timelines 7. Communication with Parents Serve as a receptionist for the Child Study Team office, greeting parents and visitors Receive and route incoming telephone calls Provide parental notifications and confirmations for CST meetings and appointments Distribute permission forms and other required documentation to parents Coordinate parent/CST conference appointments Forward vocational school information to parents of eligible classified students 8. Responsibilities with Teachers and Staff Distribute anecdotal report requests to teachers for classified and pre-classified students Notify teachers, administrators, and parents of staffing and CST meetings Schedule appointments between teachers, counselors, and CST members as requested 9. File and Records Responsibilities Open and maintain new student files File all reports and correspondence in students' classified records Ensure files are current, accurate, and well-organized Insert and update required student information forms Maintain both physical and electronic records in compliance with district and state requirements 10. Other Responsibilities Perform additional duties as assigned by the Director of Special Education Services Perform duties assigned by the Child Study Team with approval from the Supervisor Carry out other responsibilities as assigned by the Superintendent of Schools or designee
