Job Description The Legal Billing Specialist plays an essential role within the Accounting Department and reports directly to the Accounting Manager. This position requires a detail-focused professional who can excel in a fast-paced, deadline-driven law firm environment. The ideal candidate is organized, technologically adept, and able to manage multiple priorities while maintaining exceptional accuracy and professionalism. Working closely with attorneys, legal assistants, and finance staff, the Legal Billing Specialist must also demonstrate flexibility during month-end and year-end closes. This role is responsible for ensuring the accurate, timely, and compliant preparation and processing of client invoices in accordance with firm policies and client billing requirements, supporting the firm's overall billing and revenue cycle operations. Essential Duties & Responsibilities Prepare, review, and process monthly and ad hoc invoices for designated attorneys and practice groups. Ensure all invoices comply with client billing guidelines, engagement terms, and firm policies. Edit and revise pre-bills in collaboration with attorneys and legal staff. Submit invoices through electronic billing platforms such as Legal Tracker, CounselLink, TyMetrix, and similar systems. Monitor invoice progress and address rejections, reductions, and appeals as needed. Research and resolve billing discrepancies, write-offs, and write-ups. Assist with specialized billing requests, alternative fee arrangements, and custom billing formats. Support month-end and year-end billing cycles and reporting requirements. Maintain strict confidentiality regarding all client and firm financial information. Contribute to additional accounting projects and initiatives as assigned. Qualifications Associate degree in Accounting, Finance, Business Administration, or a related field preferred; equivalent experience will be considered. Minimum of 2+ years of legal billing experience in a law firm or professional services setting. Working knowledge of legal billing processes and client billing requirements. Experience Proficiency with enterprise legal accounting systems (Aderant, Elite, ProLaw, or similar). Experience using electronic billing systems such as Legal Tracker, CounselLink, TyMetrix, and LEDES formats. Familiarity with client-specific billing rules and compliance requirements. Experience supporting invoice appeals, billing adjustments, and collections processes. Direct collaboration with attorneys and legal support staff. Skills & Competencies Exceptional attention to detail and accuracy. Strong organizational and time-management skills. Ability to manage multiple tasks and meet strict deadlines. Excellent written and verbal communication skills. Proficient in Microsoft Excel and the Microsoft Office Suite. Capable of working independently as well as collaboratively.
