Administrative Coordinator, Public Policy Job Category: Incorporated Requisition Number: ADMIN005513 Location: 225 S East St, Indianapolis, IN 46202, USA Description Minimum Knowledge and Job Requirements: 5+ years of administrative support experience, including support for executive leadership. Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and digital collaboration tools. Excellent written, verbal, and interpersonal communication skills. Strong organizational skills with exceptional attention to detail. Demonstrated problem-solving abilities and the agility to manage competing priorities. Ability to work independently while contributing to a collaborative team environment. Consistent, reliable attendance. Education: Preferred: Associate's degree in business administration plus 2 years of related experience. Required: High school diploma or equivalent plus 6 years of related experience. Personal Attributes: Service-minded with a positive, execution-oriented approach. Sound judgment and integrity, especially when handling confidential information. High degree of independence and ability to anticipate needs. Ability to manage multiple priorities while maintaining high-quality work. Diplomatic, calm, and professional demeanor. Intellectual curiosity about state, local, and federal policy and the work of the Public Policy Team. Job Functions: Executive Director Support: Serve as a key partner and administrative resource for the Executive Director of Public Policy. Manage the Executive Director's schedule, including meetings, conferences, and teleconferences. Maintain files, records, and documents with accuracy and confidentiality. Complete expense reports, process invoices, create and review purchase orders, and track project expenses. Develop presentations, spreadsheets, charts, and visual materials with minimal direction. Lead and support special projects on behalf of the Executive Director. Public Policy Team Support: Support all administrative aspects of the Public Policy Team. Coordinate team workflows to ensure deadlines, deliverables, and project milestones are met. Support AgELECT and ELECT functions, including tracking fundraising activity, assisting with endorsement processes, and coordinating related communications and documentation. Facilitate internal communication, follow up on outstanding items, and ensure timely distribution of updates and expectations. Identify opportunities to improve processes, create efficiencies, and strengthen collaboration across the organization. Provide excellent member service and timely responses to internal and external inquiries. Event and Meeting Coordination: Execute Public Policy Team events. Coordinate logistics for internal and external meetings, including agendas, materials, presentations, technology setup, hospitality, and venue arrangements. Prepare professional-quality meeting materials and ensure all deliverables are accurate and complete. Support weekly legislative updates and other member communications. Travel Management: Manage all travel arrangements for Public Policy Team staff and Farm Bureau members attending policy team events. Arrange complex and detailed travel plans, itineraries, agendas, and supporting documentation. Track travel expenses and ensure timely and accurate reimbursement processes. Data Management: Maintain accurate contact information for members, committee members, donors, and elected officials using the member management database. Assist with tracking engagement, event attendance, and other operational metrics. Other duties as assigned. Physical Requirements and Reasonable Accommodations: Position requires a valid driver's license and physical mobility for effective job function while conducting INFB business including locations such as hotel meeting facilities, convention centers, and farms.
