Your Role as Administrative Specialist The Administrative Specialist will provide administrative support for the undergraduate and graduate programs in the Division of Business, Communications & Health Studies, specifically supporting department chairs, program directors, the Associate Deans, and the Dean. This a full-time position, reporting to the Dean of the Division of Business, Communications & Health Studies. The schedule is Monday through Friday, 8:30 am to 5:00 pm. Key Responsibilities Provide skilled administrative support to the undergraduate/graduate programs, department chairs, program directors, and the associate dean in the Division of Business, Communications & Health Studies. Perform general office duties: field incoming calls, mail, email communications, filing, etc. Monitor the Division of Business, Communications & Health Studies email accounts and direct inquiries to the appropriate administrator for resolution. Attend meetings and events as required. Help with Planning, coordinating, and managing department events. Administrative support for the Faculty Associate Deans: general office support. Triage student issues and apply corrective action, including degree audit issues when necessary, or defer to the associate dean. Update web pages and oversee the process for soliciting updates and changes needed under the supervision of the Associate Vice President for Academic Affairs or applicable Executive Administrative Associate Understand and navigate Banner, including data entry, registration of students, and class enrollments. Support students as needed: assist them in communicating with faculty; schedule advisement meetings; provide and collect information regarding scholarships and internships. Perform other duties as assigned. What You Need to Succeed Qualifications Knowledge, Skills and Abilities Professional demeanor and ability to work effectively with various constituencies including: prospective students, current students, their families, general public, faculty, administrators. Computer proficiency with Microsoft Outlook, Word, Excel, PowerPoint, Google Drive, Canisius University BANNER system, iAdvise, Desire2Learn, Qualtrics, Courseleaf, webpage editing software, social media, and other emerging systems and applications. Ability to support multiple departments in multiple locations, including remote support. Strong organizational, interpersonal, and communication skills. Computer proficiency with Microsoft Word, Excel, Zoom, and the ability to learn additional programs. Excellent calendar management skills. Knowledge of Banner. Ability to manage multiple projects with strong attention to detail. Must be eligible to work in the United States. Experience Minimum 2 years demonstrated administrative support experience.
