This full-time role is essential in ensuring accurate reporting, documentation, and invoicing for high-compliance grantsincluding federal, state, and local funding. Position Purpose The Grants Accounting Specialist will coordinate and execute documentation, reporting, and invoicing for high-compliance government and private grants. This role works closely with internal staff, vendors, subcontractors, and grantors to ensure all processes and outcomes align with funder requirements. Essential Functions Coordinate Grant Reporting Produce monthly, quarterly, annual, and close-out reports for high-compliance grants. Coordinate data collection processes required for reporting. Assemble and submit reimbursement requests, ensuring accuracy, completeness, and compliance with grant guidelines. Track and report on deliverables for each grant contract. Assist with project-specific grant submissions and communications with funders. Coordinate Grant Invoicing Prepare timely and accurate invoicing for grant contracts. Coordinate with program staff to collect and verify backup documentation. Collect time-tracking data and prepare related billing reports. Maintain up-to-date salary and benefits information for program staff involved in grant billing. Ensure subcontractor compliance with applicable flow-down requirements. Support reporting for Section 3 and Davis-Bacon requirements. Conduct initial reviews of reports and reimbursement packets prepared by the Senior Grants Accounting Specialist. Prepare billing ledgers for reimbursement requests. Coordinating Grant Compliance Maintain current knowledge of grant contracts and compliance requirements. Manage filing and organization of documentation for audits and monitoring visits. Coordinate cross-departmental collection and maintenance of grant-related information. Maintain accurate electronic and physical files for funder communications, awards, contracts, draw requests, compliance, and grant closeouts. Ensure procurement and subcontractor processes meet grant requirements. Update program documents annually to include required grant language. This role also supports the Organizational Advancement & Development team and other departments as capacity allows. Qualifications Education/Skills: Preferred experience with grant and contract reporting requirements Strong attention to detail Proficient in Excel, Word, Power Point Strong Organizational Skills Good Communication Skills Physical Requirements: Ability to use a computer for up to 8 hours in a day Estimated Time Commitment: 40 hours/week, Monday-Friday schedule.
