Corporate Office Receptionist / Office Assistant The Office Receptionist is the first point of contact for visitors and deliveries, serving a vital role in providing a professional and welcoming environment to all visitors. This position is responsible for overseeing all incoming and outgoing mail and packages, ensuring accuracy, security, and timeliness. In addition to mailroom duties, this role supports the executive office floor with general office assistant responsibilities, contributing to an efficient, organized, and welcoming workplace. Key Responsibilities Front Desk & Mailroom Support Remain stationed at the lobby desk throughout parts of the day to monitor visitor access and ensure secure entry. Greet and assist guests in a courteous, professional manner; maintain accurate visitor logs and sign-in procedures. Collaborate with on-site security officers and internal staff to address concerns, coordinate visitor access, and relay communications. Shipping & Receiving Sort, log, and process all incoming and outgoing mail and packages across multiple carriers, including USPS, FedEx, UPS, Amazon, courier services, and vendor shipments. Maintain detailed, accurate logs of all deliveries and shipments. Ensure packages are distributed promptly and securely to the correct departments or individuals. Track, manage, and replenish mailroom and shipping supplies while monitoring associated costs. Troubleshoot and resolve mailing or postage issues proactively. Help improve mailroom procedures and maintain compliance with carrier regulations. Office & Executive Support Provide administrative support and clerical assistance for executive staff and the broader office as needed. Assist with procurement, organizing, and distributing office supplies. Support coordination of office events and special projects. Uphold confidentiality when handling sensitive documents and communications. Qualifications Education: High school diploma or equivalent required. Experience: 35 years of experience in a similar capacity (reception/mailroom/facilities support) strongly preferred. Skills Strong organizational skills and high attention to detail Excellent verbal and written communication abilities Professional, welcoming demeanor with staff, vendors, and visitors Familiarity with USPS, FedEx, and UPS systems and regulations Ability to work independently while supporting a larger team Physical Requirements Must be able to lift and carry mail/packages weighing up to 3550 lbs Equal Employment Opportunity We are an Equal Opportunity Employer committed to fostering an inclusive workplace.
