Administrative Specialist III-VCFA The Administrative Specialist III-VCFA works under general supervision and is responsible for coordinating office activities, researching and preparing special reports. This position is governed by agency/institution policy. This is a 12-month, 40 hours per week, on-campus position. If not residing in Camden or surrounding area, relocation is required. Essential Functions: Serves as the executive assistant to the Vice Chancellor for Finance and Administration. Assists supervisor by maintaining appointment calendar, making travel arrangements and prioritizing incoming correspondence. Performs other administrative support duties; organizes and schedules meeting, attend workshops, seminars and meetings; provides assistance and information regarding policies and procedures. Maintains inventory of office supplies for supervisor. Researches and gathers information for special projects assigned by supervisor. Maintains level of proficiency on software system used in office. Stays abreast of the correct preparation and distribution of forms applicable for specific job assignment (i.e. purchase requisitions, personnel requisitions, travel requests, leave forms, time sheets, etc. Prepares various financial and budget report upon request using PowerPoint, Excel, and other formats as needed. Responsible for the management of the campus photocopiers. Responsible for the daily operation of the campus post office. Supervises clerical support in processing in-coming and out-going mail. Composes, types, and edits forms/documents including but not limited to letters, memoranda, reports, purchase orders and other financial documents. Greets visitors, ascertains nature of business, provides proper information or refers to appropriate person. Provides clerical support to the Controller and Assistant Controller as needed. Serves as P-card liaison by maintaining receipts and completing monthly reports. Updates and maintains the Finance and Administration section of the Strategic Plan. Performs related responsibilities as required or assigned by supervisor. Minimum/Preferred Qualifications: Education: AA/AAS Degree Two years of specialized training in business management, business education, or a related field; Candidates must be proficient in Microsoft Excel. Other Requirements: Knowledge of grammar, punctuation, and spelling. Knowledge of general office procedures. Knowledge of basic record keeping procedures. Knowledge of word processing applications. Knowledge of and ability to use Microsoft Office Software. Ability to operate standard office equipment. Ability to provide information and assistance to office staff, visitors, and callers. Ability to perform basic mathematical calculations. Ability to extract and organize information. Work Environment: The Administrative Specialist III-VCFA has regular contact with department staff, other state agency/institution personnel, clients/students, personnel of regulated entities, and the general public.
