Position Description Advertised Job Summary The Student Services Manager will work under the supervision of the Master of Health Administration (MHA) Program Director while providing support to all HSPM graduate degree programs (MHA, Master of Public Health (MPH), and Doctor of Philosophy (PhD). The Student Services Manager will organize and help coordinate the administration of each of the degree programs with an emphasis on student support from matriculation through graduation and program fidelity based on accreditation standards (i.e., CAHME or CEPH). Job Related Minimum Required Education and Experience Requires a bachelor's degree in a job related field and 3 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience. Required Certification, Licensure/Other CredentialsPreferred Qualifications Master's degree in business administration, public administration, higher education/student affairs administration, administrative services, or related field; and 2-4 years of relevant experience. Experience working with graduate student populations also preferred. Knowledge/Skills/Abilities Excellent oral, written, and electronic communication skills; intermediate to advanced computer skills (especially in Microsoft Excel); proficient in database development and management; experience with summarizing and presenting data; experience with student learning management systems; excellent organization skills; ability to prioritize tasks and perform effectively and efficiently under time/deadline constraints; must maintain confidentiality, especially adhering to FERPA and ethical business practices. Job Duties Job Duty Assist Program Directors in ensuring that all current students are supported in their pursuit of their degree program. Specifically, the Student Services Manager will manage tasks for student academic advising processes, advise students on general issues such as graduate school rules and policies, and coordinate student graduate assistantship placements to include acting as a liaison between local health care and public health agency contacts and students as needed. Students in the MHA Program and MPH-distance Program attend classes in the evenings, on weekends, and asynchronously online depending on their plan of study. Ensure coordination of student support as needed during these hours. Flexibility with weekly schedules may be arranged in coordination with and at the discretion of the employee's supervisor. Essential Function Yes Percentage of Time 25% Job Duty Support HSPM Program Directors' efforts to ensure fidelity of each program to its specific accreditation and curriculum standards (i.e., CAHME, AUPHA for MHA and CEPH, SACS for MHA, MPH, and PhD) through an ongoing effort of document review as well as fielding, collecting, and compiling various student assessments and stakeholder surveys and feedback throughout the academic year. Specifically, this position will serve as a liaison with full-time and adjunct faculty to collect and review course syllabi and assignments; deploy and analyze surveys as needed; coordinate with Arnold School of Public Health accreditation team members; to manage, collect and report student and faculty competency attainment data; coordinate performance evaluations of students and sponsors of graduate assistantship placements; and provide other statistics and reports of students and program graduates as requested, to include admission, graduation, and employment data. Essential Function Yes Percentage of Time 25% Job Duty Organize and manage the logistics for all meetings including welcome visits, orientations, program committee meetings, MHA Advisory Board meetings, accreditation site visits, curriculum retreats, ad hoc focus groups, and/or other similar workgroup activities, etc.; organize the logistics of student professional development activities; manage student forms (e.g., advisement, program of study, Z-status, application for graduation) and maintain program files within HSPM; support student completion of MHA residencies, MPH practice experiences, and PhD comprehensive exams and dissertations, including helping to coordinate and announce presentations and completion of documentation required by HSPM and the USC Graduate School; provide assistance with logistics regarding University and/or HSPM sponsored student travel (i.e., for conferences and case competitions); and maintain databases with student and alumni contact information in coordination with HSPM administrative staff. Essential Function Yes Percentage of Time 25% Job Duty Support program recruitment and admissions processes and other administrative and logistics tasks as needed. This may include responding to prospective applicants' inquiries; coordinating prospective applicants' interviews; and maintaining up-to-date databases of program applicants. The Student Services Manager may also be asked to provide support to Program Directors regarding course scheduling, adjunct faculty assignments, textbook ordering and review, maintenance of databases, and general research towards the improvement and/or development of professional and/or international programs.
