Plans, schedules or coordinates projects activities to meet deadlines. Monitors project compliance. Coordinates the overall integration of the project. Supervises and directs project personnel; assigns duties and responsibilities.Requisition ID:43954BRTravel Required:Up to 25%Major/Essential Functions: Will serve as manager for administrative, finance and Human Resources functions for the Institutional Advancement department. Preparation and oversight of the annual budget for the Institutional Advancement Department. Manage and oversee all state, local, and restricted funds. Provides project summary status reports to the Vice President as required. Supervise the business manager in all departmental purchases, expense reports, and tracking of the department’s procurement cards. Manage and oversee budget revisions, cost transfers, deposit memos, transfer forms, and other budget and finance forms as needed. Ensure compliance with financial policies and procedures. Manage and oversee all travel arrangements, preparation of necessary travel documentation, and reimbursement vouchers. Maintain and track all gift agreements for TTUHSC El Paso. Submit new gift account establishment forms, and gift/pledge agreements. Track requests and maintain fund establishment files. Oversees and logs check deposits, records, and reconciles all donations and gifts to TTUHSC El Paso w/ TTU’s records. Oversees payroll, web entry timesheets, and leave reports for the Office of Institutional Advancement. Responsible for all Human Resources records and transactions, including but not limited to new position postings, reclassifications, salary reviews, and vacant hiring requests. Schedule candidates’ interviews, create and update positions’ descriptions, and maintain the EMP system. Prepare, schedule, and oversee the annual evaluation process for the Institutional Advancement Department. Supervise department inventory, surplus, annual certification, and update property inventory system, as well as manage records for all current and new equipment within the department. Oversee audit processes for the Institutional Advancement Department gift inventory and check deposits. Remain current with all licensure, certifications, and mandatory compliance and training requirements for this position. Adhere to all policies, procedures and practices (Regents Rules, TTUS, HSECEP OPs, etc.). Personally demonstrate, display and act in accordance with TTUHSC EP's Values (Service, Respect, Accountability, Integrity, Advancement, and Teamwork). Serve as a Value's leader while actively promoting and encouraging staff across the institution. Perform all other duties as assigned. Handles administrative details independently and effectively.
