Senior Administrative Assistant Deans Office (Temporary) Location: 100% Onsite Schedule: MondayFriday, 8:30 AM5:00 PM Duration: 36 month leave coverage Pay Rate: $25.00$27.50/hour Interview Process: 30-minute Zoom interview Position Overview Seeking a Senior Administrative Assistant to provide high-level administrative and operational support to the Deans Office and the Undergraduate Program Office. This role serves as a key point of contact for students, faculty, staff, and visitors, ensuring professional communication, efficient office operations, and excellent customer service across the department. Key Responsibilities Coordinate and manage the confidential filing systems for the Deans Office, ensuring accuracy and discretion Serve as the first point of contact for students, faculty, staff, and visitors; provide assistance and direct inquiries appropriately Answer and route incoming phone calls and emails; escalate inquiries to appropriate staff when needed Receive, sort, and distribute mail within the department Provide administrative support to the Undergraduate Program Office, including preparing correspondence, mail merges, electronic filing, scanning, copying, and maintaining email distribution lists Maintain clear communication between the university, college, and departmental units while delivering a high level of customer service Gather, maintain, and update departmental and university databases, spreadsheets, and communication platforms related to current and prospective students Retrieve and organize information from electronic databases and records as requested Process departmental forms and ensure accurate data entry into university and departmental systems Qualifications Senior-level administrative experience, preferably in a higher education or academic setting Strong organizational skills with the ability to manage confidential information Excellent written and verbal communication skills Proficiency in Microsoft Office and database systems Ability to manage multiple priorities in a fast-paced office environment Professional demeanor and strong customer service skills
