Senior Development Coordinator Our Development and Alumni Engagement Office is seeking a Senior Development Coordinator to coordinate and provide operational support to the Alumni Engagement team. This role manages programs, projects, meetings, and engagement initiatives that strengthen relationships between UTHealth Houston and its alumni community. The position serves as a key administrative and relationship support partner, helping ensure the smooth execution of departmental priorities while maintaining compliance with institutional policies. Key responsibilities include: Coordinate assigned alumni engagement programs, projects, meetings, and volunteer activities. Manage updates to team event workflows in project management software. Prepare agendas, reports, briefing documents, correspondence, and other support materials. Assist with planning and monitoring program budgets and tracking expenses. Support relationship-building efforts with alumni, volunteers, donors, faculty, and staff, including targeted outreach initiatives (e.g., engagement campaigns and special projects). Collaborate with colleagues across the university to support events, meetings, and content development. This employee will work on-site (five days a week). Reporting to the Executive Director of Alumni Engagement, they will help facilitate access to both the Sr. VP of Development and the Alumni Engagement office, as well as to the University's leadership team in the Office of the President. They will play a crucial role in representing the University to alumni, visitors, and high-level officials. We need a candidate who enjoys both project management and interaction with people. Duties will include event planning support, budget, and invoice reconciliation. The core skill will be relationship-building with our alumni and leadership. Position key accountabilities: Responsible for all aspects of specified programs, projects, meetings, tours and/or volunteers within the development office. Exercises independent judgement and assumes responsibility for creating and/or facilitating multi-faceted materials, including agendas, meeting minutes, letters, reports, briefing documents, and other necessary support documents. Plans and monitors appropriate budgets as needed and monitors budget allocations and expenses throughout the planning and implementation process as needed. Works directly with staff to coordinate and manage development activities such as creating and maintaining relationships and communications with volunteers, donors, board members, advisory council members, grateful patients, faculty, staff, and/or alumni. Works in collaboration with front-line fundraisers to cultivate prospects for suitable engagement and stewardship activities and helps guide matching particular interests with school and/or program priorities. Interacts with internal and external partners. Handles special requests from donors and volunteer members in order to answer questions and facilitate access to UTHealth resources, faculty, and staff. May plan and execute on and off-site meetings as needed, including facilitating logistics, planning timelines, determining appropriate audiences for invitations, etc. Works closely with University colleagues, assuring we have content as needed. Works closely with prospect research and data management to obtain relevant information as needed. Develops effective partnerships throughout the University to enhance relationships. Ensures that plans and protocols are followed to ensure compliance with all federal, state laws, and UTHealth policies, rules, and regulations. Welcomes and directs in-person visitors to the Office of Development and the Office of the President. Performs other duties as assigned. Minimum education: Bachelor's Degree in a related field required. May substitute required education with equivalent years of experience beyond the minimum experience requirement. Minimum experience: 2 years of related experience, a paid internship in philanthropy will be considered as related experience. Physical requirements: Exerts up to 20 pounds of force occasionally and/or up to 10 pounds frequently and/or a negligible amount constantly to move objects. Security sensitive: This position is a security-sensitive position pursuant to Texas Education Code 51.215 and Texas Government Code 411.094. To the extent that a position requires the holder to research, work on, or have access to critical infrastructure as defined in Texas Business and Commerce Code 117.001(2), the ability to maintain the security or integrity of the infrastructure is a minimum qualification to be hired for and to continue to be employed in that position. Personnel in such positions, and similarly situated state contractors, will be routinely reviewed to determine whether things such as criminal history or continuous connections to the government or political apparatus of a foreign adversary might prevent the applicant, employee, or contractor from being able to maintain the security or integrity of the infrastructure. A foreign adversary is a nation listed in 15 C.F.R. 791.4. Residency requirement: Employees must permanently reside and work in the State of Texas.
