Administrative Assistant To The General Manager Allmine Paving LLC is seeking an Administrative Assistant to the General Manager at our Inwood, West Virginia facility. The Administrative Assistant to the General Manager will lead, manage, and direct all office activities and operations. They have responsibility for accounts payable, inventory, daily reporting requirements, retrieving and sorting internal and external mail, and maintaining office supplies and equipment. This role is also responsible for obtaining and monitoring outside vendor services including vending machines, janitorial, lawn and security services. Additionally, this role assists with safety and environmental inspections, initiatives, and training. Summary of Essential Job Functions: To perform this job successfully, an individual must be able to perform each essential function satisfactorily. Lead and manage all aspects of daily front office operations to ensure accuracy and efficiency. Monitor and oversee accounting functions and related activities. Utilize SAP and other software packages to input data and develop reports. Perform script-based data extraction and validation Develop and maintain SharePoint sites, PowerBI dashboards, and Smartsheet systems to streamline workflows and reporting. Leverage AI-enabled tools to improve troubleshooting and reporting efficiencies. Support expanded data analytics and reporting automation to convert raw plant data into actionable insights. Monitor and oversee the daily input of production, usage, and receiving data, and ensure the accuracy thereof. Monitor and oversee the purchasing of office supplies and equipment. Local travel required to support affiliated plants, vendor relationships, store purchases, and other operational needs. Perform safety walkthroughs of the plant with plant personnel. Identify deficiencies and work with plant management to prioritize and implement improvements. Perform environmental inspections or reporting functions as required. Identify key performance indicators of responsible activities and operations and develop reports to inform, evaluate and improve. Responsible for ensuring that all personnel meet all stated employer requirements, including multi-media and safety training. Develop and maintain SOPS for administrative functions and have employees cross trained to keep our operation ongoing in the event of absences and vacation. Manage and schedule plant activities to meet the plants demands and provide timely information. Assist with the planning and coordination of executive visits, site presentations, and company events including banquets and meetings, ensuring facilities and materials are prepared to a high standard. Recognize and analyze problems. Utilize the DMAIC and Deming approach for solving problems and improvements. Initiate and maintain 5S organizational and housekeeping skills in front office. Manage janitorial, mowing, and related services to see that duties are carried out to our specifications. Assist with safety and environmental inspections, initiatives, and training. Manage plant security devices. Requirements: Associate's degree (A. A.) or equivalent from two-year college or technical school in Business Administration or an equivalent background or education in human relations. At least three years of experience in an office or administration environment. Completion of Environmental Training (SPCC, SWPPP, GPP, Air and DOT). Completion of Six Sigma Training. Completion of First Aid and CPR Training. Proficient with computer software (Microsoft Suite Products, SAP, PowerBI, and Smartsheet). Experience with AI-enabled tools for operational reporting and troubleshooting. Scripting tool experience for data extraction and validation. Fundamental knowledge of the Deming, Six Sigma and the DMAIC process. Advanced knowledge and understanding of general accounting principles and cost accounting. Accurate data entry skills, attention to detail and follow-up abilities. Strong oral and written communication skills. Physical Requirements/Work Environment: The employee must be able to operate computer and other office equipment. The noise level in the work environment is usually quiet and occasionally moderate.
