This position provides clerical and administrative support to the Deputy Chief for Field Operations. Performs advanced technical level administrative support work, which may include supervisory responsibility, under general supervision from an administrative or technical superior. Work typically involves performing clerical and secretarial work essential to the successful operation of a specialized function. Work may also include supervision of data entry staff and coordination and work scheduling of the data entry function. Work at this level may also include independent responsibility for a moderately complex clerical process. Include the following. Other related duties may be assigned. Works and cooperates with co-workers and supervisors at all levels. Learns and performs all essential job functions accurately. Provide general administrative support to department staff and supervisors. Schedule appointments, meetings, training sessions, and other departmental activities. Answer and direct incoming phone calls and distribute mail and correspondence. Prepare and type letters, memos, reports, and other documentation. Maintain organized electronic and paper filing systems. Enter and track employee overtime, payroll information, and training details to ensure accurate recordkeeping. Assist with tracking Field Training (FTO) assignments and verifying related overtime documentation. Compile monthly reports and maintain Excel spreadsheets for payroll and operational tracking. Process and review credit card transaction logs and travel/training documentation for submission to Budget/Fiscal. Perform other related duties as assigned. This job has no supervisory responsibilities. High School Diploma or GED and 4 years of related experience, or equivalent combination of education and experience. Considerable knowledge of office practices, procedures and equipment. College coursework in related field or equivalent combination of education and experience, experience in the field of law enforcement would be preferred. Knowledge of police procedures would be an advantage; however, not a requirement. Must have experience with completing research through electronic resources, gathering and interpreting information, analytical thinking skills, and communicating and documenting findings in compliance with policy, procedures and applicable laws. Demonstrate acceptable typing ability. Ability to multi-task and effectively utilize time management skills on a regular basis. Ability to establish and maintain effective working relationship with others. Ability to maintain confidentiality and comply with all regulations and legal requirements. Must obtain and maintain UCR certification, NCIC CN1 certification, MPTC Instructor Certification and NCIC Instructor Certification. Must apply sound judgment that reflects a thorough knowledge of job task and responsibilities. It is imperative that statistical information and police documents are thoroughly reviewed for the purpose of accuracy and completeness. Incumbent must exert sound judgment to interpret documents such as legal requirements, safety rules, operating and maintenance instructions, and procedure manuals. Ability to compile numerous reports and correspondence. Ability to speak effectively before groups of customers or employees of organization. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
