Operations Support Specialist The Operations Support Specialist provides advanced administrative and operational support to the Retirement Plan Services team, using strong technical and problem-solving skills to manage a variety of tasks with minimal supervision. This role follows established processes while exercising judgment on more complex assignments, serving as a resource for resolving issues and ensuring smooth daily operations. The specialist regularly communicates with internal and external partners and adapts workflows as needed to meet business needs, with preferred experience working with operational metrics, KPIs, or performance reports. This position follows a hybrid-friendly schedule, so you get the best of both worlds flexibility and collaboration. In office days will be three per week averaging 12 days per month in our St. Petersburg, FL Corporate Office. Responsibilities: Produce, update, and provide best practice support on Microsoft documents, databases, and other departmental systems. Tasks may include purchasing materials, entering budgetary information, and recording time and expenses. Prepare routine letters, email, minutes of meetings, and reports for approval by more senior colleagues or a senior executive. Schedule appointments, make arrangements for meetings and conferences, and organize travel plans, following instructions to ensure more senior colleagues or a senior executive make the best use of their time. Create a local document management system to support departmental efficiency and compliance. Support continuous improvement efforts by identifying data-driven insights and recommending process enhancements. Pull, compile, and analyze statistical data from multiple systems to support reporting, trend identification, and decision-making. Utilize internal systems and tools to retrieve operational metrics, generate reports, and prepare summaries for leadership. Apply basic to intermediate statistical methods (e.g., trend analysis, variance analysis, averages, distributions) to identify patterns, anomalies, and performance drivers. Support continuous improvement efforts by translating data into insights and observations that highlight risks, opportunities, and areas for efficiency gains. Skills: Plan, organize, prioritize and oversee activities as they evolve to efficiently meet business objectives. Understand and effectively use standard office equipment and standard software packages to support business processes. Acquire, organize, protect and process data in order to fulfill business objectives. Select and deploy the appropriate office system and to use it to optimum effect. Apply strong technical, statistical and analytical skills to extract, validate, and interpret data with a high degree of accuracy. Effective written and verbal communication skills. Ability to work collaboratively with internal partners and support leadership needs.
