Administrative and Accounting AssistantStatus: Part-time Location: Ventura Salary: $24-$30/hr DOE We are seeking an organized, detail-oriented Administrative Assistant with strong bookkeeping skills to manage office operations for a specialized engineering and construction firm. This role supports a team dedicated to complex structural projects, including foundation repair, retaining walls, and drainage solutions. The ideal candidate will be the backbone of our administrative workflow, ensuring that project documentation, financial records, and client communications are handled with precision. Financial Management & Bookkeeping Process weekly timesheets for all field personnel. Invoice clients using percentage of completion methods. Manage financial records with high precision and detail. Project & Permit Coordination File permit applications with local building departments. Maintain organized project folders and compliance documents. Coordinate schedules between engineers, architects, and inspectors. Monitor subcontractor insurance certificates and professional licenses. Distribute weekly safety meeting topics to field staff. Office Operations Maintain rigorous digital and physical filing systems. Track vehicle and equipment maintenance schedules. Manage office supplies and general administrative workflows. Qualifications & Skills 2-4 years of construction or engineering bookkeeping experience. Proficient in QuickBooks and advanced Microsoft Excel. Professional communication skills for homeowners and engineers. Knowledge of AIA billing and California Lien releases. Bilingual in English and Spanish is a significant plus. Compensation / Pay Rate (Up to): $24.00 - $30.00 Per Hour
