Job Summary: We currently have an exciting opportunity for a Development & Construction Project Coordinator to join our team in Indianapolis, IN headquarter office. This position will provide comprehensive administrative and operations support to both Development and Project Construction Managers. Key Responsibilities: This role ensures consistent execution of tasks across departments, streamline workflows, and enhances cross-functional collaboration. The coordinator will manage documentation, scheduling vendor setup, and project tracking to support the full lifecycle of development and construction initiatives. Additional duties and responsibilities include the following: Manage the full lifecycle of project documentation, including drafting, coordinating execution, and maintaining records for contracts, change orders, applications, close-out packages, and legal documents. Ensure compliance with the company's Signature Authority Policy and oversee routing though platforms such as DocuSign, Procore, and Salesforce. Maintain continuity of project coordination processes across all initiatives, ensuring alignment, with standards set by the Project Operations Manager in collaboration with department heads and senior leadership, and adherence to the internal SOP's and external regulatory requirements. Support project financial and operational processes, including budget research, reallocation and invoice processing, as well as coordinating delivery notices, opening notices, tenant allowances, and utility account setup and transfers at delivery possession (DOP). Set up and configure Procore for individual projects, customizing modules and workflows to meet project-specific requirements. Provide ongoing technical support to users, assist the Project Operations Manager in training delivery and documentation, and coordinate with vendor resources as needed. Coordinates municipal and regulatory processes for development projects, including bond acquisition and release, submission of project data to city portals, and handling public notice mailings and document recording with city offices. Facilitate cross-functional coordination and compliance, serving as liaison between project teams, internal departments (e.g., Leasing, Asset Management, Accounting), and external stakeholders, including, but not limited to supporting insurance documentation and vendor prequalification processes. Other duties as assigned. Requirements: Requires a minimum of one (1) year of support experience in a similar role / work environment. Experience supporting commercial real estate development team/process strongly desired. Associate's degree (A.A.) or equivalent from a two-year college or technical school preferable; or six months to one-year related experience and/or training; or equivalent combination of education and experience. Able to manage time and multiple tasks effectively. High attention to detail and organizational skills. Proficiency in Microsoft Office Suite, Salesforce, MRI, and Procore. Experience in commercial real estate or construction administration preferred. Strong written and verbal communication skills.
