Position Type: Clerical & Secretarial/Administrative Assistant Date Posted: 2/27/2026 Location: Board of Education Date Available: 03/12/2026 Closing Date: 3/06/26 Internals Only POSITION TITLE: SENIOR ADMINISTRATIVE ASSISTANT DEPARTMENT: SECRETARIAL REPORTS TO: DIRECTOR OF PUPIL PERSONNEL SERVICES / SENIOR ADMINISTRATIVE ASSISTANT OF THE DIRECTOR OF PUPIL PERSONNEL SERVICES SUMMARY: Responsible for Administrative Assistant duties connected with the Department of Pupil Personnel Services department. ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties may be assigned. Knowledge and operation of varied office machines and computer use. Set up and maintain an electronic database platform for individual education programs and records. Process medical information for government reimbursement. Work with staff from state agencies; including processing state agency placement notifications. Receive calls and schedule appointments as needed. Prepare and compile department; state and federal reports. Work with material concerning outside placements as needed. Work with parents to schedule meetings as needed. Maintain confidentiality of student and staff information. Maintain all confidential student records. Maintain accurate files, records and accounts. Prepare and follow up on purchase orders through a computerized purchasing system as needed. Process and maintain accurate records related to transportation for students. Knowledge of and ability to create and maintain spreadsheets for the purpose of accurately tracking special education information. Respond to inquiries from staff, students and the general public. Work with staff from other school districts. Work with staff from state and federal agencies. Compile and submit reports as required in a timely manner. Open and distribute mail. Prepare typing and copying. Assist in the maintenance of the system wide computer database along with the State of Connecticut record keeping system. Perform other duties as assigned by the supervisor. QUALIFICATION REQUIREMENTS: TO PERFORM THIS JOB SUCCESSFULLY, AN INDIVIDUAL MUST BE ABLE TO PERFORM EACH ESSENTIAL DUTY SATISFACTORILY. EDUCATION AND/OR EXPERIENCE: High School Diploma or General Education Degree (GED) preferred. Previous office experience is desirable. LANGUAGE SKILLS: Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively with parents, staff and students. MATHEMATICAL SKILLS: Ability to work with mathematical concepts appropriate to the position. Knowledge of EXCEL spreadsheets and bookkeeping functions. COMPUTER SKILLS: Basic knowledge and experience with job related computer hardware and software applications. Demonstrated ability to operate a personal computer and related software. REASONING ABILITY: Ability to apply common sense understanding to carry out instructions furnished in written or oral form. Ability to deal with problems. OTHER SKILLS AND ABILITIES: Ability to establish and maintain effective working relationships with students, staff and the community. Ability to perform duties with awareness of district requirements and Board of Education Policies. Typing and word processing proficiency; filing; general office skills; adaptability; operation of office machines; good public relations: computer proficiency.
