We are seeking a reliable and detail-oriented Legal Secretary to provide essential support to our attorneys and legal staff. This role is ideal for someone who thrives in a fast-paced legal environment, enjoys managing documents and deadlines, and takes pride in being the organizational anchor of a busy law office. What You’ll Do Calendaring & Case Management Maintain attorney calendars, including court appearances, hearings, depositions, reminders, deadlines, and trial schedules Set up CourtCall/remote appearance links and maintain trial calendars Perform trial countdowns (manually in Excel and using ProLaw docketing once implemented) Track deadlines for discovery, motions, and court appearances Court Filings & Document Preparation Perform e-filing and in-person filing with state and federal courts Prepare, draft, and finalize pleadings, discovery documents, notices, letters, subpoenas, TOCs, and TOAs Request and coordinate appropriate service for subpoenas and notices Trial & Deposition Support Assist with trial preparation, including preparing exhibits, witness lists, trial binders, and reports Schedule depositions, court reporters, interpreters, videographers, experts, and witnesses File & Records Management Maintain and organize case files (digital and physical) to ensure accuracy and accessibility Coordinate with support staff to ensure case-related tasks are completed efficiently Administrative & Billing Support Assist with attorneys’ billing timesheets, including data entry of billed hours Handle incoming calls, emails, and correspondence professionally Perform general office duties including scanning, faxing, copying, formatting, and transmitting documents Provide additional secretarial/administrative support as assigned What We’re Looking For 3 years of experience as a legal secretary or in a similar litigation support role Familiarity with California court procedures, filing systems, and deadlines Proficiency in Microsoft Office Suite (Word, Outlook, Excel); experience with ProLaw or similar legal case management software a plus Strong organizational skills, with the ability to manage multiple priorities and maintain attention to detail Excellent written and verbal communication skills Ability to maintain confidentiality and handle sensitive information with discretion Why Join Us?
