Administrative Assistant III (Laboratory Directorate-Chief of Staff's Office) Lawrence Berkeley National Laboratory (LBNL) is hiring an Administrative Assistant III (INTERNAL APPLICANTS ONLY) to support the Laboratory Directorate. Reporting to the Chief of Staff (COS), this position provides a high level of administrative support services to members of the Laboratory's Leadership team. The Directorate Office is the "face" of our organization, welcoming staff and visitors to Berkeley Lab. The AAIII will be an integral part of the Directorate team, who are part administrators, part leadership support, and part cultural ambassadors. This position will be hybrid, with an expectation of a minimum of three days a week on site. This position has an anticipated start date of April 1, 2026. What You Will Do: As one of the administrative points of contact for the Directorate/Operations suites, you will help the team on a variety of tasks, including assisting with special event and high-level meeting planning logistics, support for key leadership meetings such as the twice-yearly Lab Advisory Board gatherings, weekly Associate Lab Director meetings, and visits of important Lab stakeholders that include DOE leadership, state and federal lawmakers, and foreign dignitaries. Working closely with the Chief of Staff, the AAIII day-to-day functions include coordinating travel, managing the calendar for the Director's van, ad hoc on-site transportation for the Director and other Lab leadership, and some procurement assistance for the office. What We Are Looking For: A minimum of six years of administrative experience in a professional, academic, or corporate setting requiring confidentiality and discretion, or equivalent experience. A strong team player who functions with a high degree of discretion, confidentiality, and professionalism. An ability to deliver excellent customer service, to embody the Lab's Stewardship values of team science, respect, trust, service and innovation, and to represent the Lab and the Directorate with integrity. Experience effectively building relationships and collaborating with individuals at all levels across a multidisciplinary organization. Exceptional written communication skills including the ability to produce high-quality, error-free documents, tailor messaging to varied audiences, and provide proactive follow-through and status updates. Strong planning and organizational skills including the ability to handle multiple tasks concurrently to meet workload demands and deadlines, to respond quickly and maintain flexibility during periods of changing work priorities and tight time constraints. Experience with calendar management, meeting and event coordination, travel arrangements, expense reporting, purchasing, document management, and other related administrative tasks. Advanced proficiency in Google Workspace, and Zoom web conferencing on a Mac platform. Strong database and records management skills, including the ability to create and run basic reports, track and maintain dynamic datasets, and create charts/graphs from data. Excellent analytical skills including the ability to anticipate, identify, troubleshoot, and resolve routine and complex administrative issues. Able to lift up to 20 pounds. Able to work occasional overtime and adjust work hours as needed. Required Skills/Knowledge: Knowledge of Berkeley Lab, the University of California (UC), the Department of Energy (DOE), and federal policies, procedures, and regulations. Experience with Berkeley Lab systems and tools (LETS, FMS, Trex, RezDesk, etc.) Desired Skills/Knowledge: A.A. Degree or equivalent experience. This position is represented by a union for collective bargaining purposes and has a salary range of $34.65 - $46.41 hourly for job code 572.3. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary will be commensurate with the final candidate's qualifications and experience, including skills, knowledge, relevant education, certifications, and aligned with the internal peer group (if applicable, and union contract agreement). This position offers a hybrid work schedule, combining telework with onsite work at Lawrence Berkeley National Lab, located at 1 Cyclotron Road, Berkeley, CA 94720. A minimum of three onsite days per week is required. Work schedules are dependent on business needs. Hybrid employees must reside within 150 miles of Berkeley Lab. A REAL ID or other acceptable form of identification is required to access Berkeley Lab sites. This position is not eligible for relocation assistance.
