Job Summary The Facilities Operations Coordinator is instrumental in ensuring the efficient operation and maintenance of our facilities. This role involves scheduling both preventive and corrective maintenance tasks, emphasizing reliability and functionality across all facilities and equipment. Acting as a central communication hub, you will collaborate closely with maintenance personnel, management, and external vendors to address maintenance issues promptly. This position reports directly to the Director of Facilities. Key Responsibilities: Schedule & Coordination Oversee daily completed work orders by technicians to ensure compliance with R365 procedures, managing the process of obtaining competitive repair quotes from approved external vendors. Organize travel arrangements for the Facilities Maintenance Team. Provide administrative support to the Director of Facilities. Work Order Management Schedule and dispatch maintenance technicians for routine work orders, preventive maintenance, and emergency repairs using the Corrigo system. Ensure timely completion of all work orders within the Service Level Agreement (SLA). Utilize the Corrigo Management System to track work order progress, equipment history, and compliance. Process vendor invoices by incorporating notes from Maintenance Technicians in R365 to guarantee payment within agreed NET terms. Communication and Reporting Act as the primary point of contact for all maintenance-related inquiries. Update management regarding the status of ongoing maintenance activities and any potential disruptions. Manage the Cotti Foods Facilities channel on Microsoft Teams. Safety and Compliance Provide backup support to the Facilities Compliance & Facilities System Coordinator II as needed. Plan, schedule, and dispatch work orders for building/lot lights, grease management, fire systems, hood cleanings, and backflow preventers. Training & Support Support facilities managers and supervisors with guidance and assistance. Stay updated on changes in regulations and industry standards. Manage access to Corrigo, R365, Parts Town, and other systems, handling user setup, resets, and permissions. Assist HR and IT with onboarding new technicians, leads, and Facility Managers. Report technician, lead, and facility manager mileage to the payroll department bi-weekly. Required Skills & Abilities Excellent organizational and time management skills. Strong communication and interpersonal abilities. Detail-oriented with a proactive, problem-solving attitude. Ability to work independently while managing multiple priorities. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Familiarity with compliance systems and facility operations (e.g., Corrigo, R365). Schedule & Availability Standard schedule: Wednesday - Sunday, 9:30 AM - 6:00 PM (subject to operational needs). Remote work on Saturdays and Sundays. Occasional evening, weekend, or holiday work may be required. Availability for on-call duties or emergencies as necessary. Education & Experience High school diploma or equivalent; or two years of relevant work experience. Experience in a coordination or administrative role, preferably in maintenance, facilities, or operations environments. Physical Requirements Ability to sit for extended periods. Occasional walking, bending, and lifting of 10-40 pounds may be required.
