Job Description

We're seeking a detail-oriented and highly organized Construction Accounting Administrator to join our client in Charlotte on a direct hire basis. This role is ideal for someone who thrives in a fast-paced environment and has strong experience with pay applications, AIA billing formats, collections, lien management, and billing portals. You'll work closely with project managers, subcontractors, vendors, and clients to ensure accurate and timely financial documentation for construction projects. Key Responsibilities • Prepare, review, and submit monthly AIA G702/G703 pay applications. • Coordinate with project managers to gather required backup, cost data, schedules of values, and approvals. • Ensure billing aligns with contract terms, retainage requirements, and project milestones. • Monitor accounts receivable and follow up on outstanding invoices. • Communicate with clients regarding payment status and resolve billing disputes professionally and promptly. • Maintain detailed logs of communication and collection efforts. • Prepare and track preliminary notices, lien waivers, releases, and affidavits according to state requirements. • Coordinate with subcontractors to ensure all required lien documents are received and filed. • Maintain accurate documentation for audit and compliance purposes. • Submit invoices and pay applications through various client billing portals • Troubleshoot portal submission issues and ensure timely approval workflows. • Reconcile project-related financials to ensure accuracy. • Generate reports for management and project teams. Qualifications • 2-5+ years of experience in construction accounting or project administration. • Strong understanding of AIA billing, pay application processes, and construction contracts. • Familiarity with lien laws, waivers, and state-specific requirements. • Strong Excel skills are required (pivot tables, vlookups) • Experience working in construction billing portals (Textura, GCPay, Procore, etc.). • Excellent attention to detail, follow-through, and organizational skills. • Strong communication skills, both written and verbal.
