Key Responsibilities: Devise comprehensive meeting strategies by identifying the event's objectives, creating detailed project plans, and leveraging past program data for informed decision-making. Engage with stakeholders by outlining programs, crafting compelling content, selecting effective speakers, and setting clear metrics for success along with technological requirements. Oversee venue and facilities planning by choosing optimal locations, identifying necessary services, executing security protocols, and facilitating pre-event and post-event discussions with suppliers. Manage all technology and logistics, including planning tech needs, arranging room setups, coordinating shipping logistics, and ensuring compliance with meeting technology standards. Handle financial and contract management by creating budgets, negotiating vendor agreements, managing the RFP process, executing payment protocols, and adhering to contract terms. Coordinate registration and risk management through managing invitation procedures, assessing insurance needs, organizing exhibitor logistics, and arranging transportation and travel. Oversee food and beverage operations by identifying catering requirements that align with the event's objectives and ensuring timely preparation of housing reports. Address issues and client concerns proactively by identifying potential challenges and resolving them promptly to ensure event success. Provide strategic leadership for programs by attending onsite as the lead coordinator, collaborating with local teams, and compiling thorough debrief notes for all relevant stakeholders. Commit to continuous improvement by keeping current with industry trends, identifying opportunities for enhancement, and performing other duties as necessary. What We're Seeking: 2-5 years of experience in event management, customer service, or hospitality fields, along with a Bachelor's degree or equivalent professional experience. Demonstrated proficiency with Cvent is essential. Expertise in project management, with a CMP or similar credential preferred. Advanced skills in Microsoft Office and electronic meeting management tools (Cvent). Excellent communication skills in English, both verbal and written, for interaction with diverse audiences. Strong organizational skills, with an ability to prioritize and multitask in complex environments. Financially savvy with a knack for managing budgets and identifying cost-saving opportunities. Critical thinker with problem-solving capabilities and a quick learning aptitude for strategic resolution of issues. Ability to maintain composure and effectiveness in fast-paced, high-pressure situations. Passion for the travel industry and readiness to travel for events as required, along with strong negotiation and customer service skills. Location: United States The anticipated base salary range for this position is between $55,300.00 and $102,700.00. Compensation depends on various factors including the role's complexity and the applicant's experience, skills, and location. This position is also eligible for an annual discretionary bonus based on individual and/or company performance.
