Job Description

The Herman B Wells Center for Pediatric Research (The Wells Center) conducts basic science and translational research within the Department of Pediatrics at Indiana University (IU) School of Medicine. The Wells Center houses more than 300 faculty investigators, staff, and trainees seeking answers to the most pressing questions related to childhood illness. With the collaboration between scientists and physicians, the center aims to increase knowledge of causes and mechanisms of serious pediatric diseases. Our goal is to develop innovative approaches to the diagnosis and treatment of sick children in Indiana and beyond. Job Summary The Program Management Specialist provides comprehensive administrative and programmatic leadership within a dynamic pediatric research environment. This role plays a key part in supporting faculty leadership, coordinating complex workflows, and fostering collaboration with internal and external stakeholders to advance the center's mission. Department-Specific Responsibilities Provides strategic support to the director, including oversight of the National Institute of Health (NIH) U54 grant activities, internal pilot awards, and related grant matters. Serves as the primary contact for communications among IU leadership, faculty, donors, and national consortium partners. Leads onboarding for students and postdoctoral fellows; manage publication submissions and research documentation Drafts and manages professional correspondence on behalf of the director; acts as liaison to internal and external stakeholders. Coordinates meetings and agendas for director-led initiatives to ensure time management; oversees travel, procurement, vendor coordination, and event logistics. Organizes enrichment activities including seminars, site visits, and internships. Supervises administrative staff; provides operational management and leadership. Evaluates staff performance, conducts performance reviews, provides corrective action as needed. Provides training opportunities for staff development and process improvement to improve workflow efficiency. Supervises front desk staff and manages day-to-day front desk operations. Oversees core budgets, procurement, inventory, and service contracts. Drives research center initiatives that promote community engagement and expand educational opportunities. Develops and maintains standard operating procedures (SOP) and operational documentation to ensure consistent policies/operations. General Responsibilities Collaborates with team members to develop program objectives and create policies to meet them. Coordinates program operation with all collaborative units. Monitors progress and maintains all necessary data bases. Actively recruits program participants and researches new venues and methods of recruitment. May provide guidance to support and temporary staff and coordinates workflow for the program. Researches available grants and assists creating funding proposals that further advance support of the program. Writes grant reports. Administers program budgets. Working Conditions / Demands This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. Work Location Indianapolis, Indiana Advertised Salary $53,000 - $58,000 per year. Salary determination is based on a combination of experience, skill level, education, and training.
