Posting Details Position Information Position Title Associate Director, Registration & Records - FT Department Enrollment/Registration & Records Location Beatrice Job Category Professional Job Type FT Posting Number 02085 Position End Date Position Summary Information General Description of Position Under the general direction and supervision of the Administrative Director, Registration & Records, the Associate Director is responsible for the registration and records component of the student information system. Duties include: developing and distributing class schedules, organizing student registration activities, maintaining and processing student records, processing graduation requests, and coordinating graduation exercises. This full-time regular position serves as a member of the Enrollment Management team. Essential FunctionsOrganize and Coordinate Registration Activities Coordinate and participate in registration activities for undergraduate, dual credit, and Continuing Education course registration. Monitor and record no-show records and section waitlists. Process student drop/adds and student withdrawals from classes. Responsible for enrollment verification and Clearinghouse activities. Answer student inquiries via phone, email, and in person. Involved in the scanning and recording of registration documents. Operate a personal computer and print equipment related to the student information system. Transcript ServicesCollect and record transcript requests. Ensure accuracy of student transcript records. Issue transcripts to students and authorized third parties. Record transfer of credit, credit by waiver, and pass by exam credit to the student's transcript. Determine a student's eligibility for academic bankruptcy and record the bankruptcy in the student's academic record. Maintain Student Records and Compliance Maintain student records and monitor the release of student information in accordance with laws, regulations, policies, and procedures, including FERPA guidelines. Educate and inform students, the College community, and third parties about student records and applicable guidelines. Coordinate Graduation Activities Participate in the coordination of Graduation Ceremonies. Process and verify applications for graduation. Prepare graduation lists required to print awards, graduation programs, and press releases using established college procedures and forms. Assist with the ordering of caps and gowns, awards, and programs. Prepare a listing of honor graduates. Schedule Building Compile, develop, assemble, and distribute a schedule of credit classes offered. Organize a schedule for student registrations according to college policies and procedures. Enter course information into the College's data management system (Ellucian Colleague). Proofread course schedules before publication. Assist in the scheduling of classrooms and available spaces. SupervisionProvide supervision, oversight, and training for registration staff as needed and at the discretion of the Administrative Director of Registration and Records. Ensure that registration services remain available to students and the public. Ensure that staff provide a positive and helpful customer experience. Approve schedules, time off requests, and work coverage as needed. Provide feedback and guidance, and promote professional development among staff. Assist, as needed, with supervisory duties and assignments. Monitor Academic ProgressEnsure student grades and education records are entered accurately. Assist in the monitoring and notifying students of academic standing, including academic probation and suspension. Assist students in understanding and filing for academic bankruptcy. Reporting Assist with end-of-term reporting, participate in clean-up processes such as recording demographic information, duplicate ID detection, and providing data used for institutional reporting. Provide student lists to internal and external constituencies as needed and when appropriate. Academic PartnershipsWork with Instructional staff to develop and process documents such as curriculum changes, catalog updates, and master course forms. Assist in the use and maintenance of transfer equivalency services, such as Transferology. Provide oversight and coordination of the transfer credit evaluation process. Serve as a liaison for Career Academies and K-12 Connections. Work with staff to coordinate registration for the SENCAP/Dual Credit and Career Academy program operated by the College. Participate in committee and partnership work, such as the SCC Curriculum Committee, Competency-based Education team, College Athletics, and scholarship opportunities with partnering high schools. Enrollment Management Participate as needed in enrollment and recruitment activities such as New Student Orientation, Discovery Days, on-campus tours, and special events. Develops and implements plans and activities that are consistent with the goals and objectives of the Enrollment Management Team. College Community Involvement Participate in College committees that promote a positive and productive work environment and further promote the visibility and accessibility of the Registration department. Promote a Culture of Belonging Support and promote an environment of belonging where all students, faculty members, and college employees feel welcomed, valued, and empowered to contribute. Foster a community where each individual and their varied perspectives enrich the educational experience and create a safe and respectful environment. Support the College's policies and programming related to access, fair employment, and equal opportunities for all. Marginal Functions Participate in professional associations related to registration and records. Represent the campus at local, regional, and state meetings related to registration and records. Prepare special reports which may be requested by the administration, the Nebraska Coordinating Commission for Post-Secondary Education, or the U.S. Department of Education. Serve as a Notary Public for students and the College community. May be required to perform associated duties, functions, or assignments in other divisions/programs/areas as required. Perform other College functions and duties as assigned. Must be able to work varied days, hours, shifts, locations, and campuses as required. Work schedules (hours/days/work location) are scheduled by Southeast Community College based on the needs of the College. Work hours, shifts, days, and work locations may vary depending on the needs of Southeast Community College and are subject to modification. Emergency or scheduled special activities may require hours outside of the regular workweek. Required Knowledge, Skills and Abilities Knowledge of and experience with post-secondary education legal requirements, standards, methods, policies, and procedures related to student registration and record-keeping functions. Includes knowledge of and the ability to organize and supervise student information systems specifically designed for student registration and records. Knowledge of and experience in the operation of data processing equipment related to student registration and record-keeping functions, such as personal computers, printers. Ability to think critically and problem solve. Ability to develop, coordinate, communicate, and implement processes and procedures necessary to achieve a quality registration and records department. Skills and abilities necessary to promote and maintain a positive environment and level of service for all those who interact with Registration and Records. Ability to critically review policies and procedures. Provide recommendations for the improvement, implementation, and evaluation of registration and record-keeping operations. Ability to communicate effectively in writing, in person, and on the phone. Ability to use basic computer skills. Ability to lift and carry up to fifty (50) pounds for short distances and move tables, chairs, and media equipment when necessary. The individual must possess the above skills and abilities or be able to explain and demonstrate that the individual can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities. Minimum Qualifications Bachelor's degreein a field of study related to education, business/business administration, public administration, social sciences, or other related student services areas. Two (2) yearsof work experience in a secondary or post-secondary student services area. An Associate's degree plus a total of four (4) years of work experience in a secondary or post-secondary student services area may substitute for the degree/experience requirement. A Master's degree in a directly related field may be substituted for one (1) year of the required three years of experience. Desired Qualifications Master's degree in education, business/business administration, public administration, social sciences, or other related student services areas. Registrar or Assistant Registrar work experience. Supervisory or Administrative work experience. Salary $49,837 per year BenefitsSCC BEN Dollars - Eligible Employees: Full-time status. Regular employees with an FTE of 0.75 or greater will be eligible for SCC Ben Dollars. All employees will be required to elect a health insurance option. If the cost of insurance coverage selected by an employee exceeds the SCC Ben Dollars available, all additional costs will be withheld from the employee's paycheck. Any SCC Ben Dollars that the employee does not elect to use for the purchase of dependent health and dental insurance will be paid to the employee in cash at $0.93 per $1.00 benefit dollar. All amounts paid are subject to withholding for income and employment taxes, but not subject to the College's contribution toward the Retirement Savings Plan - Group Retirement Account (GRA). Schedule Normal working hours for this full-time regular position are scheduled between 8:00 a.m. and 6:00 p.m., Monday through Thursday, and 8:00 a.m. and 5:00 p.m. on Friday,requiring a minimum of a 40-hour work week, based on a 260-day work calendar.Scheduled special activities, emergencies, or temporary schedule changes may requirehours outside of the regular workday or workweek.
