POSITION SUMMARY The HR Benefits and Compensation Specialist is responsible for supporting the organization's benefits and compensation programs to attract, retain, and motivate employees. This role involves managing benefits, billing processes, auditing and ensuring compliance with relevant laws and organizational policies. The coordinator works closely with the HR management team to produce deliverables to support management and the back office ESSENTIAL JOB FUNCTIONS Work with internal and external partners regarding benefit plans, funding, invoicing, account reconciliation, payments, enrollment and eligibility changes, and retirement plan administration. Process monthly insurance invoices and reconcile monthly statements. Respond to employee inquiries on general benefits questions and issues and resolve in a timely manner. Ability to explain and interpret company insurance program to employees. Deliver benefit presentations for new hire orientation, health & wellness events and other communication initiatives. Assist with annual open enrollment preparation including communications, presentations, meetings, and system set-up. Administer and manage all leave of absences for employees including FMLA, workers' compensation, military leaves, disability leaves, and personal leaves; analyze leave requests to determine eligibility, maintains accurate records of employee leaves and assists with employee returns. Ensures compliance with COBRA, ACA, HIPAA, and ERISA provisions. Responsible for ACA tracking and compliance, including 1095's Assist with HRA and FSA claims and funding questions. Assist employees with qualifying life events and verifying documentation. Assist with benefits plans audits. Collaborate with payroll to ensure that payroll deductions are processed accurately. Prepares annual employee census for basis of quotes from insurers and providers of benefits and other ad hoc reporting as needed. Perform ongoing review of carrier related data to ensure accuracy. Responsible for bi-weekly 401(k) funding verification. Assists in ensuring compliance with all applicable laws and regulations including plan documents, summary plan descriptions, vendor contracts, policy manuals, compliance testing, audits, and required filings. Conduct salary data analysis and reports as needed. Provide insights and recommendations on salary adjustments based on market trends. Support the development of competitive pay structures by analyzing internal and external data. Ensure compliance with federal, state, and local wage and hour laws (e.g., FLSA, minimum wage laws). Conduct regular audits of compensation programs to ensure equity and adherence to company policies. Create Standard Operating Procedures for benefits billing and auditing. Maintain accurate records to support compliance and internal reporting requirements. Assist in cross-functional projects related to HR initiatives and provide support to HR Generalists. Other duties as assigned. GENERAL QUALIFICATIONS High functional use of Microsoft Tools (Word, Excel, Outlook) and ability to learn HRIS, Paycor, and benefits systems. Working knowledge of federal, state and local employee benefits laws and regulations, e.g. FMLA, COBRA, ADA, EEO, DOL, ERISA, HIPAA, ACA, and workers' compensation Must be a proactive problem solver with a demonstrated ability to take initiative. Ability to handle and prioritize multiple assignments and effectively manage deadlines. Analytical skills: ability to research, collect, and compile data with accuracy and precision. Outstanding verbal and written communication skills required with the ability to successfully interact at all levels of the organization. Demonstrated ability to handle sensitive and confidential information appropriately. Possess strong time management and organizational skills. Must have a strong attention to detail EDUCATION AND EXPERIENCE Bachelor's Degree in Human Resources, Business, or related field preferred Previous benefits and compensation experience (2-4 years) Strong interpersonal and customer service skills required to interact with internal and external contacts to exchange or obtain information. A deep understanding of market trends and expertise in developing competitive pay structures that attract, retain, and motivate top talent. Advanced proficiency in Excel. Working knowledge of HRIS systems. Strong analytical skills with the ability to research, collect and compile data with accuracy and precision; experience with compensation analytics tools preferred Must be a proactive problem solver and team player who is detail oriented and flexible; a self starter requiring minimal supervision with the ability to support requests from multiple directions. Ability to handle sensitive and confidential information. Outstanding verbal and written communication skills required with the ability to successfully interact at all levels of the organization while functioning as a team player.
