Administrative SpecialistMake an Impact Behind the ScenesAbout the RoleThis position provides key administrative and project support across a fast-paced, collaborative development team. You'll be a trusted partner to leadership, ensuring smooth operations, effective communication, and well-executed projects that power our community fundraising programs.What You'll DoAdministrative & Program Support Manage and maintain the Director of Development's calendar, including meetings, travel, and project time; assess priorities and coordinate internal and external requests. Support meeting success by drafting agendas, preparing briefing materials, taking and distributing notes, and tracking follow-up actions. Enter development activity into the donor database and generate reports or compile data as needed. Process incoming and outgoing mail and manage team mailing projects from start to finish. Order and manage program supplies. Prepare and submit check requests, reimbursements, and invoice payments, ensuring compliance with expense and reimbursement policies. Serve as a professional point of contact with leaders, board members, volunteers, donors, prospects, and faculty. Respond to and route internal and external inquiries in a timely, thoughtful, and professional manner. Projects & Team Collaboration Collaborate with colleagues to support development goals and share best practices. Assist with special projects and one-time initiatives as assigned, contributing to continuous improvement across the team. What You BringSkills & Competencies Strong time management, organization, and project coordination skills with the ability to juggle multiple priorities. Excellent interpersonal and emotional intelligence, with the ability to work diplomatically and effectively with people at all levels. A proactive, self-directed work style-you anticipate needs, take initiative, and know when to ask questions. Strong written communication skills, including the ability to prepare meeting minutes, executive correspondence, and formal documentation. Exceptional attention to detail and sound administrative judgment. Adaptability, curiosity, and a solutions-oriented mindset. Compassionate and culturally responsive, with the ability to work effectively with diverse individuals and communities. Experience Requirements Prior administrative experience Experience supporting a staff member or executive Experience in nonprofit, healthcare, or university environments preferred Experience using Raiser's Edge or a comparable donor database preferred Job Type & LocationThis is a Contract to Hire position based out of Portland, OR.Pay and BenefitsThe pay range for this position is $24.00 - $30.00/hr.Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
