Hiring for an Office Manager in Nashville, TNJob DescriptionAs a Facilities Assistant, you will play a crucial role in coordinating maintenance and repair requests, while effectively communicating with vendors and service technicians. You will be responsible for interacting with building management, day porters, and cleaning services, ensuring any issues are promptly addressed. Additionally, you will assist the Facilities Manager in supervising outside vendors, managing key and badge access for employees, and overseeing the inventory of office supplies. Your responsibilities will also include managing conference room and event calendars, ordering catering for meetings and cultural events, and managing the front desk and lobby by interacting with all visitors.Responsibilities Coordinate requests for repairs and maintenance and communicate with vendors and service technicians. Interact with building management, day porters, and cleaning services as problems arise. Assist the Facilities Manager to supervise outside vendors. Assist with purchasing, processing invoices, contracting with vendors, and assisting with budget preparation. Manage keys and badge access for employees. Track and order pantry, office supplies, and new hire supplies. Manage conference room and event calendars as needed. Order catering for meetings and cultural events. Manage the front desk and lobby, interacting with all visitors. Essential Skills At least 3 years of experience performing facilities maintenance duties. General knowledge of office and warehouse facilities systems including HVAC, electrical, and lighting. Experience working in an office environment and interacting with customers daily. Skills in facilities maintenance, office management, and customer service. Additional Skills & Qualifications Experience with HVAC, plumbing, and electrical systems is preferred. You will report to the Facilities Manager located in California while working with the Nashville office team. The position requires professionalism and experience running an office, along with the ability to manage facilities-related tasks. The company is moving to Germany in the next two months, requiring a replacement that matches the current expertise.
