Elementary School Administrative AssistantDepartment: Elementary School Reports To: Elementary Principal MISSION: Liberty Christian Academy exists to support parents and guardians in their biblical responsibility to nurture and train their children. Thus, LCA provides opportunities which allow students to realize their God-given potential and to live lives that glorify God in the spiritual, academic, social, physical and vocational realms. POSITION SUMMARY: Management of the Elementary School office, handling of various accounting and attendance responsibilities and other duties. POSITION QUALIFICATIONS: Show evidence of proficiency with the use of Microsoft and Google suites. Have a minimum of 5 years of experience in the areas they will supervise. Have a thorough understanding of the Bible. Be of outstanding Christian character and witness. Have an understanding of the Christian philosophy of education. Have the ability to observe, evaluate, and provide direction to the non-teaching staff they supervise. ESSENTIAL DUTIES AND RESPONSIBILITIES: The following are some of the responsibilities of the Elementary School Administrative Assistant in relation to: SPIRITUAL LEADERSHIP - Act as the spiritual leader of school and community. Show evidence of a consistent time of personal Bible study, prayer and outreach. Maintain a Christ-like attitude. STUDENT RECORDS MAINTENANCE Records Requests Application Filing Start cumulative folders on students Receive and process records from ELC Begin interview reviewing medical information Communicate with nurses on new student data Identify and contact waived parent interviews Scheduling appointments w/ parents Mail and file standardized tests' data sheets and report cards Withdrawals Birth Certificates GREETING/HELPING PARENTS, STUDENTS, AND VISITORS. FACTS/RenWeb questions General Questions Facilitate volunteer coordinator GENERAL OFFICE DUTIES Answering Phones and communicating with parents and teachers regarding dismissal changes and lunch requests Correspondence Filing & Copying Facilitate and ensure all students are accounted for and picked up at the end of the school day Coordinate field trip dates with classroom teachers, maintain field trip calendar, and coordinate with transportation supervisor ATTENDANCE Receive period attendance, verify accuracy of reporting and correct if necessary. Generate report for excessive absences. Schedule conferences with Principal/Assistant Principal if needed. Record late arrivals and issue pass to class Generate excessive tardy report Generate daily attendance report to include late arrivals and early dismissals. Receive and maintain all parent/doctor excuses for absences. Daily attendance; pulling records, daily care calls to parents, follow up contact regarding tardies and doctor notes, monthly tardy reports for business office, attendance reports and parent letters, communicate students absences to teachers, collect and pick up and hold work for students who were absent ACCOUNTS PAYABLE Requisition Funds As Needed Place Orders for office supplies Inventory Office Supplies, Requisition, and Order As Needed Collect and reconcile receipts from all elementary school purchases Requisition field trip purchases Collecting, managing, and counting all money collected for Fall Fundraiser and ensuring monies collected are turned in daily to the business office INTERVIEWS Schedule all teacher/staff interviews. Schedule new middle school student interviews with Principal or Assistant Principal. Conduct new student entrance testing as needed. Process and submit request for records from previous schools. GENERAL BUDGET MAINTENANCE Review Quarterly Budget Reports Review Fundraiser Account Reports HUMAN RESOURCES Collect Paperwork (timecards, teacher absences) and turn in to HR Director Contact and schedule substitute teachers in conjunction with HR Director STAFF EMAILS REGARDING PROFESSIONAL WORKDAY Create email contacting staff about childcare for professional developments days and creating lists of students who will attend and their contact information AFTER CARE DUTIES Requisition monies for after-care program (snacks, drinks, and supplies) Collect and maintain after-care applications and contacting parents regarding aftercare SUMMER CARE DUTIES Providing prospective summer care parents/students with information over the phone Creating and compiling summer care student lists, parent email lists, and contact information Contacting summer care activities contractors and collecting information regarding dates and hours of operations for our campers Collecting and managing summer care applications and forms MASTER CALENDAR Submit request for facilities through master calendar for any events for the Middle School.
