Job Summary: The Manager of Procurement and Facilities will take the helm of Help at Home's real estate portfolio while streamlining procurement processes across all departments. This key role involves daily oversight of our partnership with Cushman & Wakefield, managing vendor relationships, and employing the Coupa procurement system to enhance cost savings, consistency, and operational effectiveness. As a strategic yet hands-on leader, you will balance immediate tasks with long-term strategies, foster strong inter-departmental relationships, and serve as a vital liaison between Finance, Operations, IT, and external partners. This is a REMOTE position with minimal travel expectations to the Chicago, IL headquarters once a quarter for in-person collaboration and departmental meetings. Responsibilities What You'll Do: Real Estate Management Oversee Help at Home's extensive real estate portfolio, which includes 100+ locations, handling leases, renewals, consolidations, relocations, and closures. Manage the relationship and KPIs with Cushman & Wakefield, focusing on transaction management, portfolio administration, utilities, and vendor performance. Collaborate with Operations to develop and enhance facilities plans. Work with Operations and IT to create stable, efficient, and safe office environments. Coordinate with Accounting to ensure that all real estate locations are accurately recorded in NetSuite, with timely updates for openings, closures, and relocations to maintain data integrity. Monitor service-level agreements (SLAs) to guarantee all customer service standards are achieved. Procurement & Vendor Management Act as the subject matter expert for all procurement operations, particularly with Coupa. Develop, document, and continually refine procurement policies, procedures, and controls. Oversee cost savings initiatives and manage spend analytics organization-wide. Partner with Legal to secure favorable contract terms and minimize business risk. Engage in negotiations with key vendors to promote cost efficiency and standardization across all offices (e.g., professional services, supplies, maintenance, IT hardware). Ensure accuracy and compliance in the vendor master file, collaborating with Finance and Accounting for streamlined Procure-to-Pay processes. Conduct regular business reviews with high-spend vendors to assess service performance and cost optimization. Identify opportunities to consolidate vendors and simplify the sourcing landscape. Build strong partnerships with Operations, Finance, and Legal to align business priorities with procurement needs. Create metrics and reporting dashboards to measure performance against cost savings, service quality, and compliance targets. Lead change management initiatives to ensure the effective adoption of new processes and tools. Qualifications Education & Experience: Bachelor's degree in Business, Finance, Supply Chain, or a related field is required. 7-10 years of progressive experience in facilities management, real estate, or procurement. Prior experience managing outsourced real estate partnerships (such as Cushman & Wakefield) is preferred. Demonstrated success in driving cost savings and improving operations within multi-site organizations. Strong expertise in contract negotiation and financial analysis. Required Skills/Abilities: Exceptional negotiation, analytical, and vendor management skills. Strong oral and written communication and presentation skills. Collaborative leadership style with the ability to work across functional areas effectively. Capable of managing multiple complex projects with minimal supervision. Advanced problem-solving and critical-thinking abilities. Proficiency in Coupa or equivalent eProcurement tools (such as Ariba, SAP, etc.) and Microsoft Office Suite. A strong customer service orientation and meticulous attention to detail. This role involves daily oversight of our outsourced real estate partner, ensures effective vendor and contract management, and leverages the Coupa procurement system for cost savings, consistency, and operational efficiency. The manager is a strategic yet hands-on leader adept at balancing tactical execution with long-term planning, building strong relationships across departments, and acting as a key liaison among Finance, Operations, IT, and external partners.
