The Operations Administrator plays a critical role in ensuring residential painting projects run efficiently from scheduling through completion. This position supports field crews, customers, and management by coordinating schedules, managing project documentation, tracking production progress, and maintaining clear communication between all parties. The ideal candidate is highly organized, detail-oriented, and comfortable working in a fast-paced service environment.Key ResponsibilitiesProject Coordination & SchedulingSchedule residential painting projects and coordinate crew assignmentsMaintain and update production calendars and job timelinesConfirm project details with customers prior to job start datesCoordinate material ordering and delivery schedulingMonitor job progress and assist with schedule adjustments as neededCustomer CommunicationServe as a primary point of contact for customers during productionProvide project updates, scheduling confirmations, and follow-up communicationAddress customer questions and escalate concerns when necessarySupport customer satisfaction and quality assurance processesAdministrative & Operational SupportPrepare and maintain job files, work orders, and production documentationTrack job progress, completion status, and production metricsAssist with permit tracking or compliance requirements when applicableSupport invoicing preparation and job close-out processesMaintain accurate data within company CRM and project management systemEnsure company branded shirts are being worn by crews, company signage is on every jobTeam SupportCommunicate daily with field crews and production leadershipAssist with onboarding paperwork and scheduling coordination for crew membersHelp track equipment, materials, and supply needsSupport internal meetings and production reportingQualifications1–3 years of administrative, scheduling, or operations coordination experience preferredExperience in construction, home services, or trade industries is a plusStrong organizational and multitasking skillsExcellent written and verbal communication skillsProficiency with Microsoft Office, Google Workspace, and/or CRM/project management softwareAbility to prioritize tasks and meet deadlines in a fast-paced environmentStrong customer service mindset and problem-solving abilitySkills & CompetenciesAttention to detail and accuracyTime management and scheduling coordinationProfessional communication and conflict resolutionAbility to work independently and as part of a teamAdaptability and strong follow-throughCompensation & BenefitsCompetitive salary based on experiencePerformance incentives or bonus opportunitiesHealth, dental, vision benefits401k employer matchCompany cell phone and computerPaid time off and holidaysOpportunities for advancement into Operations or Production Management rolesThis franchise is independently owned and operated by a franchisee.
