Purpose Work with management to prepare and finalize contract documents in accordance with the company standards, municipal / jurisdictional requirements, survey standards, and client requirements. Apply administrative, technical and managerial techniques to assigned proposals to ensure successful and timely completion. Working with leadership, prepare and submit proposals and project estimates throughout the region. Responsibilities Leadership and Direction Receive broad guidance from senior-level management relating to overall key objectives, critical issues, new concepts, and policy matters and general parameters for execution. Independently apply extensive and diversified knowledge of principles and practices in broad areas of assignments and related fields. Assist in managing people and processes to ensure effective execution. Review work produced by staff for quality assurance. At the Operational and Company Level Work closely with more senior staff members to learn and assist in preparing project proposals Interact professionally with internal and external clients. Assist managers throughout the region in securing repeat business from existing clients and identifying new clients. Coordinate with other internal departments to meet project requirements. Ensure projects are meeting contractual obligations and deadlines. Do the Work Understand and manage the workflow on projects, including initial project kick-off and daily metrics, work in close coordination with internal teams. Assist PMs throughout the region by preparing estimates based on the client's requirements and scope. Schedule pre-bid meetings with internal PM's and walk through your bidding process, prior to signature and dissemination. Collaborate with multiple departments (i.e., engineering, remote sensing, environmental) as needed to ensure accurate quotes, scope of work, and lead times. Follow up on estimates as necessary. Coordinate multiple projects; create and/or update project plans (monitor the acquisition processes, proactively communicate with project stakeholders). Assist regional leadership with business development opportunities. Work with administrative personnel to prepare proposals and tracking reports, reconcile databases, and ensure project schedules and budget are met. Adapt to changes in project process and scope and proactively assist in problem solving. Ensure all documentation is maintained appropriately for each project. Proactively communicate internally and externally, acting as client point of contact. Work with PMs to review project changes, pending or anticipated alterations to the contract, additional work requests, and all other factors which may significantly affect budgets. Participate in marketing presentations and attend marketing meetings. Success Metrics and Competencies Ability to work both independently and within a team environment. Three or more (3+) years of related experience (ideally in professional services and/or project management) Proficient in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook). Adept at creating/managing spreadsheets or other project management tools to organize Familiarity with financial principles. Familiarity with content management systems or proposal automation tools is a plus. Understanding of federal, state, or municipal procurement processes is desirable. Physical Demands and Working Environment Primarily indoor professional office environment which may include bright/dim light, noise, fumes, odors, and traffic. Mobility around an office environment. Frequent and prolonged use of standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Partly outdoor work environment which may include adverse weather conditions, varying temperatures, excessive noise, and/or potential hazards. Mobility around a job/construction site to include walking, bending, crawling, climbing, squatting, or kneeling and wearing of required Personal Protective Equipment (PPE). Primarily local travel during the business day, although some out-of-the-area and overnight travel may be required according to the needs of the business. Occasional lifting or carrying up to 20 lbs. Occasional pushing or pulling up to 20 lbs.
