The Town Club is filled with unique landings for your respite after a long day, with the Rooftop Terrace that lets 13 stories mute the clamor of Downtown Los Angeles, or The Grill which brings signature dishes with fresh ingredients from our Urban Garden, meticulously paired with select wines from our expert sommeliers. With event and overnight rooms, gym, food, drink, and more, the Town Club is an oasis in the heart of one of the busiest cities in the world. Summary of Position This position is responsible for the effective management and communication for the Special Events office. This role reports directly to the Director of Special Events and collaborates closely with multiple departments at both properties and outside vendors. The manager oversees event logistics, communication, administrative processes, assists in the production of internal marketing materials, oversees the payroll and schedule of the Special Events Coordinator, and provides any support necessary to the department. The manager ensures high-quality execution of events and activities in the absence of the Director. Duties include but are not limited to administrative support, overseeing and executing smaller in-house events and supporting large events, including weekends, evenings and holidays as needed. The Special Events Manager is responsible for the following: Oversee and maintain daily, weekly, and monthly interdepartmental communications materials, reports, and standard operating procedures. Supervise multi-line phones, email inquiries, walk-in inquiries, and online reservations. Oversee all reservations for the special events department. Create, update and execute banquet event orders (BEOs) and floorplans for each event. Efficient communication with the back-of-house team to ensure all event details are executed accurately. Oversee the organization and execution of registration for all special events with Coordinator. Manage planning, vendors, speakers, BEOs and reservations for Clubs within the Club events, and Jonathan Club Sponsored events. Oversee the creation of all printed event materials, including menus, place cards, directional signs and other materials as requested (with Coordinator) Assist in the communication and creation of event marketing materials, marketing projects, and departmental collateral. Provide project support and participate in business activities as requested. Create manage seating charts for all necessary events Maintain and update the Special Events master calendar and Tripleseat holds Manage invoices and submitting them to our accounting department Enter all Club events into the Northstar system for the calendar year and ensure they are in "RFR" for Communications. Directly responsible for sending all monthly event information to our Communications Department for the magazine and online system (Beginning of each month, 8- weeks out) Responsible for floral/linen orders needed for events Responsible for owning events with up to 100 attendees. Requirements Minimum of 4 years events experience Able to handle multiple tasks simultaneously Excellent customer skills, superior interpersonal skills, results oriented and highly motivated Proven ability to plan and execute events effectively and with strong attention to detail Working knowledge of PMS Programs Tripleseat, Northstar, Social Tables, Word, Excel, In-Design, Canva, Adobe Photoshop Excellent written and verbal skills Please note this position will be required to work Weekends and Holidays Other duties as directed by the Special Events Director Salary Range: $73,000/year - $80,000/year The statements in this job description are intended to describe the essential nature and level of work being performed.
