PURPOSE STATEMENT The Assistant Manager (Operations) is responsible for the daily oversight of center-based ABA services. This role ensures that center activities are carried out efficiently, staff-to-client ratios remain compliant, staff actively engage with their assigned clients, and safety protocols are strictly followed. This position does not include clinical supervision; all clinical oversight, behavior plan development, and treatment integrity responsibilities are handled by a Board Certified Behavior Analyst (BCBA). PRIMARY ACCOUNTABILITIES Conduct daily floor rounds to ensure consistent staff engagement with assigned clients. Confirm staff presence in designated therapy areas and maintain approved staff-to-client ratios at all times. Monitor client transitions between therapy spaces to ensure structured service delivery and reduce downtime. Ensure therapy sessions start and end on schedule and that programming stays active and structured. Address disengagement, unstructured time, or operational inefficiencies immediately. Maintain visible leadership during operating hours to promote accountability and professionalism. Monitor daily staffing schedules and adjust assignments as needed to remain compliant. Coordinate with scheduling to handle call-offs and staffing gaps. Implement contingency plans during high call-out or staffing shortages. Track attendance issues and report trends to the Operations Manager. Conduct daily safety walkthroughs of the environment to ensure supervision and safety standards are met. Manage all maintenance-related tasks, including scheduling repairs, coordinating with vendors, overseeing routine facility inspections, and ensuring compliance with health and safety standards. Ensure adherence to crisis response procedures and company safety policies. Document incidents and ensure proper reporting is completed accurately and promptly. Verify staff certifications (CPR, crisis intervention, etc.) are up-to-date. Enforce professional conduct, dress code, and communication standards. Provide real-time coaching to improve operational performance and session structure. Support onboarding of new staff, including center routines, expectations, and workflow. Serve as the point of contact for parent or visitor concerns when clinical staff are unavailable. Maintain a professional center appearance and organized therapy environments. Protect client confidentiality and follow visitor access protocols. Keep daily floor logs and provide regular operational updates to the Operations Manager. Communicate operational concerns to the BCBA that may affect clinical service delivery. Assist with scheduling to ensure staff availability for required clinical supervision sessions. Creating and managing monthly staff scheduling including managing time off requests Ensuring that supplies are in place as needed for the daily scheduled and maintenance of the center May be assigned to provide direct ABA services if staffing coverage is limited. All other duties as assigned CLINICAL STRUCTURE All clinical supervision, behavior plan development, data analysis, and compliance with BACB and payer requirements are the responsibility of a Board Certified Behavior Analyst (BCBA). The BCBA may oversee both center-based and in-home cases. Once the center reaches operational capacity thresholds, a dedicated BCBA may be assigned to manage center-based clinical services. QUALIFICATIONS Bachelor's degree preferred but not required. Bilingual Spanish-speaking Preferred Minimum two (2) years of supervisory or operational leadership experience required. Experience in healthcare, behavioral health, education, or related service fields preferred. Strong leadership, organization, and real-time problem-solving skills required. Ability to work in fast-paced, high-accountability environments. OTHER REQUIREMENTS Must pass criminal background screening. Maintain CPR/First Aid and crisis intervention certifications as required. Work a flexible schedule based on operational needs including opening and/or closing the center. Must obtain Registered Behavior Technician Certification within 90 days of hire.
