Job Description: The Conference Services Manager (CSM) is responsible for the successful planning, coordination, and execution of group meetings, conferences, and events from turnover through post-event follow-up. This role serves as the primary liaison between the client and hotel departments to ensure seamless event execution, exceptional guest satisfaction, and achievement of revenue goals. The person in this position must be able to roll their sleeves up and assist our team when needed, living our “ONE TEAM. ONE VISION.” philosophy. This person must also provide innovative ways that align with our mission to be the best, most respected hotel company in America. The job is simple: Focus on ways to promote and engage in internal growth programs. Continuously exemplify and live by our Culture. Meet/exceed our company goals and three metrics. Necessary Skills: Client & Event Management Serve as the primary contact for assigned groups after the sales turnover. Conduct pre-conference meetings and maintain consistent communication with clients. Detail all group requirements including room setup, audiovisual, food & beverage, billing, and special requests. Prepare Banquet Event Orders (BEOs) and ensure accurate distribution to operational departments. Coordinate and lead weekly BEO and operations meetings. Oversee on-site group execution and provide floor coverage during events. Conduct post-event follow-up to ensure satisfaction and identify future opportunities. Revenue & Financial Management Maximize food & beverage revenue through strategic upselling. Ensure accurate forecasting of group revenue, including F&B minimums and ancillary services. Monitor billing accuracy and reconcile final invoices with clients. Collaborate with sales to protect contracted revenue and enforce hotel policies. Operations Coordination Work closely with Banquets, Culinary, Front Office, Housekeeping, AV, and other departments to ensure flawless execution. Communicate last-minute changes effectively and proactively solve operational challenges. Ensure compliance with brand standards and hotel service expectations. Administrative Duties Maintain organized event files and documentation. Update event management systems (Delphi, CI/TY, etc.) with accurate details. Track group histories and maintain client profiles for future business. Strong knowledge of banquet operations and food & beverage service. Experience with event management systems (Delphi, Opera, CI/TY, etc.). Exceptional organizational, communication, and problem-solving skills. Ability to manage multiple events simultaneously in a fast-paced environment. Flexible schedule including evenings, weekends, and holidays as business demands. Physical Requirements: • Must be able to bend, reach, kneel, push, and stretch and lift and/or carry up to 25 pounds • You will be working in a collaborative office setting with other workers, where various communications, work tasks, and common office activities are happening throughout the day • Must be able to remain focused, manage distractions, and effectively handle multiple tasks while meeting deadlines • Must be adaptable to working with a diverse range of cultures and backgrounds • Have Knowledge and the ability to operate computer and office equipment • Must speak in a clear, understandable voice and hear at a basic level, and understand English Vision Hospitality Group is an equal opportunity/AA/Disability/Veteran employer.
