Job Description This position is contingent upon award. We are seeking a dedicated Healthcare Administrative Coordinator to enhance the efficiency of our healthcare services by managing administrative responsibilities, coordinating appointments, and facilitating effective communication among staff. This role is crucial for maintaining organized records, ensuring access to medical care, and supporting the healthcare delivery system. Provide direct administrative support to the Health Services Administrator (HSA) and Assistant Health Services Administrator(s) (AHSA). Maintain strict confidentiality regarding all records, including medical and personnel files, PII, and other sensitive matters. Prepare and type various documents such as memoranda, meeting minutes, letters, and reports. Establish and manage office files and databases, including processing timesheets, leave requests, contracts, and invoices. Review materials periodically to ensure current needs are met. Coordinate and arrange meetings, including securing conference rooms and notifying participants. Attend meetings, documenting proceedings and preparing reports. Screen visitors and phone calls, directing inquiries to relevant staff. Manage the HSA/AHSA calendar, schedule appointments, and provide reminders for upcoming commitments. Monitor and process incoming correspondence and action documents to ensure timely responses. Ensure compliance with relevant privacy regulations and maintain patient confidentiality. Complete training and participate in quality improvement initiatives. Engage in team meetings and adhere to organizational policies and compliance requirements. Qualifications Basic Requirements/Certifications: At least one year of experience as an Administrative Assistant in a healthcare setting, focusing on electronic medical records and appointment scheduling. High level of proficiency in Microsoft Office Suite, particularly Word, Excel, Outlook, and SharePoint. Proficiency in Spanish is preferred but not mandatory. Experience within a detention or residential healthcare environment is a plus. Basic First Aid training required. Basic Life Support (BLS) certification necessary within the first year of employment. Experience: Demonstrated ability to interact tactfully with the public and follow verbal and written instructions. Proficient in composing reports and following established guidelines effectively. Capability to work calmly under stress. Education: High school diploma or equivalent required. Attributes: Strong oral and written communication skills. Excellent interpersonal skills. Understanding of HIPAA and privacy regulations concerning medical information. Physical Requirements: Ability to walk unaided at a normal pace and maintain balance. Capable of lifting objects over 30 pounds and performing CPR. Must be able to assist patients in emergencies which may include lifting or carrying. Ability to work in a high-stress environment. Other Special Qualifications: U.S. citizenship and residency required, with a history of residence in the U.S. for the last five years unless on official government duty. Must successfully undergo a background investigation and obtain necessary security clearances.
