Assists with the daily operations for the Administrative office.Job Responsibilities:Performs other duties as assignedCoordinates all Personnel Information in accordance with WUH and Accrediting Agency's standards.Maintains all personnel documents in an orderly fashion. Contact employees for updated documents one month prior to due date.Notifies the appropriate supervisor if documents are not returned when due.Coordinates the process of new hire paperwork flow effectively. Assists with activities surrounding new hires.Coordinates the payroll procedures necessary for accurate transmission of information to WUH's Payroll Dept.Coordinates payroll procedure with Departmental Managers in order to complete payroll in an accurate and timely manner. Additional Position Specific Responsibilities: SchedulingAssist in arranging didactic/small group schedule and establish AV requirements and prepare the distribution of course materials for each lecture.Reserve rooms for class sessions as needed.Assist in inviting and confirming faculty/guest speakers.Assist in other clerkship specific scheduling needs.Assessments, Evaluations, and Record KeepingWork closely with the Assessment and Evaluation committee to ensure adequate assessment and evaluations are conducted throughout the clerkship.Maintain grading database (COSMOS) and assist course director with tracking of grades.Create, assign, and distribute COMET forms as appropriate.Track students absences and attendance during clerkship and report to clerkship director.Schedule mid clerkship assessment.Oversee submission of all required materials.Submit grades to Registrar.Maintain records of faculty and supervising physicians for completion of course evaluations.Prepare reports for the director (for the curriculum committee, ad hoc deans committees, meetings with unit chiefs, etc.) as needed.Schedule exit interview with Associate Dean of Curriculum and Assistant Dean of Clinical Sciences at the end of the rotationGeneral CoordinationPrepare and assemble orientation.Overall management of clerkship site on Learning Management System (Brightspace), including:o Add student materials to Brightspace and distribute as neededo Add learning objectives, faculty information, assigned preparation and calendar information on Brightspaceo Ensure all information on the site is up to dateo Manage communications through the announcement toolAssist faculty with preparation, distributing, and tracking of weekly questions in AMBOSS.Assist faculty with assigning on line cases and track students progress in web-based learning .Arrange and oversee small group activities as needed (throughout the course, intervening when necessary to correct problems as they arise (e.g. inadequate space on an inpatient unit.).Assist with the scheduling of students for SIMs and OSCEs along with any pre or post OSCE.Send out reminders of any changes in the students educational activities.Coordinate with the Registrars office and Deans office the timing and completion of make-up work by students who perform unsatisfactorily.Assist with communication to students and faculty.Facilitate curricular changes as needed.Work with Graduate Medical Education (GME) for clerkships that have residency training program to facilitate the distribution of educational materials and policies.Assist in proctoring quizzes and NBME exams as needed.Attend meetings with the office of medical education (OME) as needed. Minimum Qualifications:To qualify you must have a 3-5 years Clerical/office experience, preferably in a Health related field. Excellent communication (both oral and written), detail-oriented, organizational skills. Able to prioritize tasks. Shift flexibility, ability to work efficiently under pressure. Able to work in a team environment. The salary range for the role is $37,621.05 - $56,798.65 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need.
